    POSITION TITLE: Records Clerk DIVISION: Instructional Services

    LOCATION: Schools SALARY SCHEDULE: Support Services - GRADE 1

    STARTING HOURLY RATE: $12.51 - $13.08 (PLACEMENT DEPENDS ON EDUCATION AND SIMILAR EXPERIENCE HELD)

    DEFINITION:


    The Records Clerk is responsible for verifying and maintaining computerized student registration data, and maintaining the student cumulative folder. Performs job related duties as assigned.

    ESSENTIAL FUNCTIONS:
    1. Greets visitors at registration office courteously, determines need, provides information as needed to visitors.
    2. Verifies receipt and completeness of immunization records and birth certificates of students new to District, transfers and reentries.
    3. Works in conjunction with school nurse to ensure all students are compliant with immunizations, per state guidelines and assists with reports for yearly audit of student immunizations.
    4. Inputs computerized immunization records and emergency information on all incoming students. Responsible for follow-up letter to parents regarding immunization records/information.
    5. Works as a team with other registration staff to verify all required registration documents are entered into the student information system and in compliance with district and state guidelines.
    6. Maintains and files information in the student cumulative folder located in the campus registration office.
    7. Performs general clerical functions, maintains student folders, greets parents, responds to incoming telephone calls, and distributes registration packets.
    8. Responsible for data entry of student handbook: weapons policy, internet authorization form, directory, dress code policy, etc. into the student information system.
    9. Attends training provided as necessary to perform function of position.
    QUALIFICATIONS:
    1. High school diploma or G.E.D.
    2. One year of general clerical experience, preferred
    3. Ability to maintain accurate records.
    4. General knowledge of office practices and procedures.
    5. Knowledge of basic computer usage associated with job function.
    6. Effectively demonstrate both oral and written communication skills.
    7. Ability to communicate and work effectively with staff, students, parents and the school community.
