    POSITION SUMMARY
    Provides confidential secretarial support to school and department staff and administrators at assigned district site.

    PRIMARY DUTIES AND RESPONSIBILITIES
    • Greets visitors, receives phone calls, distributes mail and messages to appropriate personnel.
    • May schedule and coordinate appointments, meetings and in-school conferences.
    • Creates and manages conference/workshop arrangements including registration, lodging and travel.
    • Assists administrators and directors in submitting, amending and monitoring budgets and grants.
    • Composes and creates correspondence such as reports, meeting minutes, announcements, bulletins, grants, evaluations, flyers and brochures.
    • Orders office and instructional supplies and maintains records of requisitions, purchase orders, invoices and inventories.
    • Organizes and coordinates various programs at the request and under the direction of the school administrator.
    • Maintains records of correspondence and other informational files.
    • Manages mail through sorting, distributing and preparation of bulk mail as needed.
    • Researches information as requested and provides findings to administrators, teachers and staff.
    • Serves as a backup for other site office positions when needed.
    • May schedule maintenance and transportation needs for the school, including the creation and oversight of work orders as needed.
    • May prepare payroll for various departments which could include reporting or coding time slips.
    • May assist in gathering information for audits and monitoring of grants for federal compliance.
    • May process district travel monthly mileage and other expense reimbursements requests.
    • May organize and coordinate summer school programs (e.g. State & Federal Programs, special education and community schools).
    • May maintain department website.
    • Performs related duties as assigned.
    KNOWLEDGE SKILLS AND ABILITIES
    • Demonstrate intermediate proficiency in computer programs such as Microsoft Word, Excel, PowerPoint and Outlook.
    • Ability to operate standard office equipment.
    • Ability to communicate effectively verbally and in writing.
    • Ability to do basic mathematical computations.
    • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    • Ability to employ trouble-shooting, problem solving and decision-making skills.
    • Ability to maintain confidentiality with regards to people or events that occur on campus.
    • Ability to work cooperatively and courteously with staff, students, parents and community members.
    • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
    • Ability to handle confrontation and conflict without an emotional response.
    • Produce accurate work and complete assignments with minimal supervision.
    QUALIFICATIONS
    • High School Diploma or equivalent
    • 2 3 years administrative support experience
    • Coursework in secretarial, business or finance at junior college level preferred

    While performing the duties of this job, the employee is required to reach with hands and arms. The employee is frequently required to sit and occasionally stand and walk. The employee may be required to move ten pounds and could occasionally lift or move up to fifty pounds.

    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors and may be required to work outdoors on occasion. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with employees, the public, regulatory and government agencies and occasionally with students.

    $13.92/hour (ASRS Retirees will have a lower hourly rate due to the Alternate Contribution Rate)

    12 Month position - 8 hours/day
