    POSITION SUMMARY
    Responsible for collecting, processing, coordinating, reporting and retaining district student data records and continuously monitoring records to ensure accuracy of student information and compliance with required policies, procedures and regulations.

    PRIMARY DUTIES AND RESPONSIBILITIES
    • Develops and maintains practices and procedures related to the district-wide collection, retrieval and storage of district records.
    • Monitors and audits all records to ensure compliance with the Arizona State Library, Archives and Public Records, Education Code and district policies and regulations.
    • Processes numerous inquiries from students, parents, staff, other school districts, community members, federal, state, county and local agencies, foreign countries, courts, etc. in accordance with federal, state and district regulations.
    • Maintains strict timelines for researching, printing, notarizing and sending student records to colleges, universities, trade schools, correctional institutions, prospective employers, etc.
    • Maintains strict deadlines for researching and validating records at the request of state and federal agencies (Immigration, Social Security, IRS, law enforcement, etc.)
    • Trains district staff on policies and procedures regarding maintenance of district records, confidentiality, short and long-term projects, etc.
    • May perform duties related to Career and Technical Education (CTE), if assigned, to include ADE assessment testing, ADE records submission and all other CTE related record management functions.
    • Performs related duties as assigned.
    KNOWLEDGE SKILLS AND ABILITIES
    • Demonstrated general proficiency in computer programs such as Microsoft Excel, Word and Outlook.
    • Ability to operate standard office equipment and computer software programs.
    • Ability to communicate effectively verbally and in writing.
    • Basic reading and math skills.
    • Ability to maintain confidentiality.
    • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    • Ability to work cooperatively and courteously with staff, students and parents.
    • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
    QUALIFICATIONS
    • High School Diploma or equivalent
    • 2 years previous record keeping experience
    • Any equivalent combination of training, education and experience that meets minimum requirements

    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with students, staff, parents and the public.

    $12.97/hour (ASRS Retirees will have a lower hourly rate due to the Alternate Contribution Rate)

    12 Month position - 8 hours/day
