    SUMMARY:

    The Assistant to the Principal, Small Schools performs complex secretarial and clerical support on a small school campus, requiring knowledge of District policies and procedures and campus operations. Provides information to staff and the public. Maintains high levels of confidentiality; exercises discretion within campus policies and procedures.

    ESSENTIAL FUNCTIONS

    1. Manages information flow between the Small School Principal and students, teachers, staff, District personnel, educational institutions, vendors, other outside organizations and the public. Composes and edits communication independently or as directed; greets and screens visitors in a professional manner, obtains and provides information, coordinates activities and resolves problems. Exercises discretion within policies and procedures. Maintains confidentiality.
    2. Independently processes administrative detail and writes and responds to correspondence and inquiries. Writes and responds to emails, processes data entry, types letters, memorandums, reports and other documents. Completes and submits district forms. Reviews and edits materials for accuracy, completeness, and conformance to District policies and procedures.
    3. Manages Small School Principals calendars, makes appointments, schedules and coordinates a variety of meetings and events. Coordinates special activities including activities for parent groups, department heads, community groups, partner schools, special unit committees and District offices; due process hearing for students and staff.
    4. Provides information and assistance regarding programs and procedures to students, parents and District staff, requiring knowledge of Personnel policies and employee handbooks, and District policies, procedures and programs; follows- up as required. Distributes campus, District and Federal mail, including staff paychecks.
    5. Responds to problems and complaints, providing information, referrals, and assistance; apprises Small School Principal accordingly.
    6. Maintains accurate records and filing systems including confidential personnel information and records (e.g., employment status, educational requirements for certificated staff; verifies currency of employee certification; maintains campus employee attendance records).
    7. Coordinates work of others assigned as required. Provides in-service training to disseminate policy and procedural information and personal improvement programs.
    8. Assists in budget preparation; maintains budget and prepares budget variance reports throughout the year.
    9. Maintains and purchases inventory and supplies. Handles processing of requisitions, purchasing, accounts payable and payroll for the related function. Reviews and processes travel requests as approved.
    10. Prepares for and attends committee, staff, and other meetings; takes notes; prepares and distributes minutes and meeting materials.
    11. Processes staff evaluations, staffing and student transfers.
    12. Ensures proper coverage for absent teachers by substitution and processes substitute payroll.
    13. Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.

    REQUIRED QUALIFICATIONS

    Education, Training, and Experience Guidelines:

    High School diploma or GED equivalent; AND four years of secretarial experience, AND Microsoft Office experience.

    IDEAL CANDIDATES WILL HAVE THE FOLLOWING SKILLS AND ABILITIES

    • Knowledge of District and Program policies and procedures and campus operations.
    • Ability to create and maintain accurate records and compile reports.
    • Ability to take dictation with accuracy and type at a rate (at minimum 60 wpm) required to perform functions effectively.
    • Knowledge and experience with Microsoft Word, Excel and PowerPoint.
    • Ability to operate office equipment, including computers and computer software.
    • Ability to communicate effectively in English both verbally and in writing with students, parents and staff.
    • Ability to evaluate facts or situations to determine appropriate action.
    • Skill in understanding, explaining, and applying relevant rules, regulations, policies, and procedures.
    • Skill in researching and compiling data for reports, presentations, and technical documents.
    • Ability to follow verbal and written instructions and procedures.
    • Ability to provide excellent customer experiences, including but not limited to interacting tactfully and courteously with the public.
