    POSITION SUMMARY
    Under the direction of the payroll manager, the payroll specialist plans, prepares and precisely executes a wide range of payroll activities. The payroll specialist ensures the utmost confidentiality of employee information and safeguards the integrity of payroll and human resources operations. The payroll specialist is responsible for performing accurate payroll calculations at the end of each payroll cycle. The payroll specialist verifies and updates employee records as required in the payroll software program.

    PRIMARY DUTIES AND RESPONSIBILITIES
    • Calculates and consolidates wages and salaries for employees across various classifications, including those on stipends or contracts, using time sheets and other relevant records. This includes computing hours worked, withholding taxes, deducting insurance premiums, union dues, and other applicable deductions.
    • Processes approved new hires, terminations, change in status, leave changes, withholding changes, deduction changes, and direct deposit changes into the payroll software system.
    • Prepares computer input forms, enters data into computer and posts deductions.
    • Calculates and processes accrued leave/vacation time.
    • Addresses issues and questions regarding payroll matters from employees and supervisors.
    • Maintains up to date employee files and information necessary to generate district payroll, including pay data, personal employee data, time records, attendance, etc.
    • Enters employee data, including hours worked, deductions, and additional earnings, into the payroll system with precision and efficiency.
    • Verifies and reconciles errors from generated reports, including overpayments, reversals and voids.
    • Processes requests for payroll information from internal and external entities including verifications of employment, DES wage verifications, workers comp wage verifications and ending payroll verifications for the ASRS.
    • Compiles and maintains all payroll data and prepares required reports, including quarterly and year-end reports, among others.
    • Verifies that all required employee documentation is complete. Informs sites of documentation requirements for new hires and changes to existing jobs.
    • Maintains confidentiality of employee information and adheres to data security protocols while handling sensitive payroll data.
    • Remains up-to-date on payroll procedures, software applications, and regulatory requirements to ensure compliance and accuracy in data entry processes.
    • Performs related duties as assigned.

    KNOWLEDGE SKILLS AND ABILITIES
    • Demonstrate strong analytical skills and attention to detail, with the ability to identify and mitigate potential problems
    • Demonstrate general proficiency in computer programs such as Microsoft Word, Excel, Google and Adobe.
    • Ability to operate standard office and computer equipment and payroll software programs.
    • Ability to communicate effectively verbally and in writing.
    • Strong organizational and record keeping skills
    • Ability to do basic mathematical computations.
    • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    • Ability to maintain confidentiality and use of discretion.
    • Ability to work cooperatively and courteously with staff, students, parents and community members.
    • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
    • Ability to handle confrontation and conflict without an emotional response.
    • Produce accurate work and complete assignments with minimal supervision.

    QUALIFICATIONS
    • High School Diploma or equivalent
    • 1 year previous payroll or accounting experience
    • Any equivalent combination of training, education and experience that meets minimum requirements

    While performing the duties of this job, the employee is required to reach with hands and arms. The employee is frequently required to sit and occasionally stand and walk. The employee may be required to move ten pounds and could occasionally lift or move up to twenty-five pounds.

    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with staff and the public.

    $20.90/hour - 12 Month Position - 40 hours/week
