Job Description

New hire placement range= $25.55 to $29.21 per hour, based on experience.

SUMMARY:

This position is responsible for maintaining all general accounting functions. Must have computer skills in spreadsheets, financial computer software. Must have two or more years of accounting experience. Prefer governmental accounting experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Additional duties may be assigned.

  • Effectively utilizes district technologies appropriate to the position and assumes responsibility for attending district training needed to successfully perform designated responsibilities as directed by the supervisor.
  • Shall assist with the calculation of budget limits based on financial reports of actual limits and miscellaneous funds.
  • Maintains regular attendance.
  • Complies with State Law and District policies and regulations.
  • Shall assist with the formation of the detailed budget.
  • Shall monitor and give notice to the Purchasing Agent, Program Directors, and Administration on the status of purchases and payroll expenditures as it compares with budgeted amounts and revenue.
  • Shall assist clerical staff with coding requirements of the district for proper purchases and payroll expenditures.
  • Shall request assistance from Computer Services and assist with setting up computer programs to provide accurate financial accounting that can be read and used by all office staff.
  • Shall monitor student activity fund transactions, code and keep a record of and process generation of checks for the Business Managers signature.
  • Shall provide for internal audit on student activity funds.
  • Shall serve as the liaison for outside auditors.
  • Shall set up procedure and monitor the timely submission of industrial compensation payments, state sales tax payment, and Social Security payment reports.
  • Supervises and participates in the posting, balancing, and reconciliation of the general ledger and subsidiary accounts.
  • Maintains general ledger to include the preparation of journal entries, accounts analysis, and reconciliation, closing books monthly, and setting up new accounts.
  • Reconciles cash receipts and disbursements with the Maricopa County Treasurers Office, Maricopa County Schools Office, and Districts records on a monthly basis.
  • Controls budget for various departments and projects, determining if funds are available and expenditures properly classified; researches and analyzes transactions to resolve budget problems; provides analysis of available funds at management request.
  • Prepares work papers, financial statements, and various reports for the Governing Board meetings and other outside agencies as well as for internal accounting and auditing.
  • Recommends or implements changes in accounting systems and procedures.

QUALIFICATIONS REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

  • A Bachelors degree in accounting or equivalent.
  • Background in audit practices and procedures.
  • Knowledge of computer and ledger-generated financial reports.

LANGUAGE SKILLS:

  • Ability to write reports, business correspondence, etc.
  • Ability to effectively present information and respond to questions from administrators, staff, and the general public.

MATHEMATICAL SKILLS:

  • Ability to work with mathematical concepts such as probability and statistical inference.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to write accounting procedures and communicate these procedures to staff.
  • Indicate initiative in developing computer programs and design a record-keeping system for district funds.
  • Ability to operate a 10-key calculator and calculate complex computer operations.
  • Working knowledge of laws affecting budgets and its limitations.
  • Principles of governmental financial administration, including budgeting, reporting, and revenue.
  • Principles of supervision, training, and performance evaluation.

REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES:

  • Knowledge of department organization, methods, standards, and practices. Standard business practices/methods and procedures.
  • Ability to work independently with minimum supervision.
  • Ability to understand and carry out complex oral and written instructions.

  • Ability to perform general operations which require the exercise of judgment.
  • Ability to perform duties with awareness of all district requirements and School Board Policies.
