JOB SUMMARY
Perform basic clerical accounting duties for accounts payable, review and enter data, process transactions, and provide customer services under basic supervision.

TYPICAL CLASSIFICATION ESSENTIAL DUTIES:

  • Process vendor payments, invoices, and other payment requests and perform duties within scope of authority and training and in compliance with County policies and quality standards.
  • Post accounting transactions to computer ledgers, review source documents for compliance to rules and regulations, and review and validate proper handling of accounting transactions within designated limits.
  • Check documents for validity and accuracy of information, research and clarify payment requests, perform mathematical calculations, record, file, sort, and distribute related paperwork and documents, and report discrepancies.
  • Maintain accounting and bookkeeping records and filing systems, enter data into computer systems, process transactions, update accounts, and cross train in other clerical accounting duties.
  • Provide customer services, respond to requests for information, resolve problems, provide basic accounting information within scope of authority, and update, retrieve, and release information according to procedures.
  • Submit claims to insurance for services provided by the nursing staff.
  • Verify for accuracy mileage claims, gas receipts, and payment requests.
  • Determine appropriate codes and classify and verify information from source documents.
  • Process payments in a centralized accounts payable process on behalf of all County departments.
  • Scan treasurer's receipts into the On-Base program and put those receipts into reports.
  • Research and redirect misdirected invoices to appropriate county departments and verify funds availability for purchase orders.
  • Process procurement card payments, update receipts onto spreadsheet, and keep an updated total of each account.
  • Respond to customer, vendors, and other requests and inquiries.
  • Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
  • Perform other related duties as required.
Minimum Requirements

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High school diploma or GED equivalent.
  • Two (2) years of bookkeeping and computer experience.
  • Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
  • Valid Arizona State drivers license in background stage/ before date of hire.
Preferred requirements:
  • Excel experience
  • Payroll experience to include performing payroll functions, including wage computation, answer payroll questions, compile payroll data & maintain payroll records.

Knowledge, Skills and Abilities:

  • Knowledge of basic record keeping practices and customer service standards and protocols.
  • Skill in entering data into a computer system with speed and accuracy.
  • Ability to maintain electronic records and files.
  • Ability to provide effective customer service.
PHYSICAL DEMANDS:
The work is sedentary requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires the ability to finger, reach, perform repetitive motion, hear, speak, and demonstrate mental and visual acuity.
