Definition

Under general supervision from the Accounts Payable Manager, performs a variety of administrative and clerical support functions for the Finance Department Accounts Payable Division including customer service, handling of incoming mail, administrative assignments, payment recording and distribution, and document file management. This job class is treated as FLSA Non-Exempt.

Examples of Tasks

Tasks:

1. Customer Service: Answers incoming accounts payable phone calls and replies to emails requesting accounts payable information for the AP Division. Primarily responsible for the general AP mailbox. Answers routine questions and provides necessary requested information. Directs calls and emails to appropriate staff member.

  • Assists customers in completing a variety of forms and other materials used in AP.
  • Documents phone inquiries through supplier conversation into PeopleSoft.

2. Mail Processing and Office Equipment: Processes incoming mail daily. Scans items as set by process, distributes incoming mail as necessary, and prepares outgoing and interoffice mail for the AP Division.

  • Scans and files (electronic and hard copy) incoming mail per process.
  • Updates pay list location for returned checks.
  • Operates office equipment including copier, fax machine, telephone, and paper shredder.

3. Administrative Assignments: Update PeopleSoft per responsibilities given by AP Manager and Senior Accounts Payable Specialists. Voucher / Invoice research in SharePoint and PeopleSoft. Assist with stale check voids as requested. Assist with data entry and correction as requested. Assist with AP research including stale checks as requested. Primarily responsible for ensuring the receipt, tracking, and communicating for accruals of the Communitys recurring invoices.

4. Administration: Provides general clerical duties for the AP Division in support of the Accounts Payable Clerks II and III, Accounts Payable Specialists, Senior Accounts Payable Specialists, and as assigned by the AP Manager.

  • Performs filing (electronic and hard copy), data entry, and other special assignments.
  • Types memos and letters, as needed, for the AP Division as assigned by the Senior AP Specialists or AP Manager.
  • Maintains AP related files and records as assigned.

5. Miscellaneous: Performs other job-related duties as assigned by the Senior Accounts Payable Specialists, AP Manager, or Finance Director to maintain and enhance departmental operation.

Knowledge, Skills, Abilities and Other Characteristics:

  • Knowledge of the culture, customs, traditions, history and government of the Salt River Pima-Maricopa Indian Community.
  • Knowledge of general office/administrative practices and procedures including those associated with confidential and sensitive information.
  • Knowledge of basic customer service principles and techniques including knowledge of the circumstances to refer customers to a supervisor.
  • Knowledge of basic generally accepted accounting practices for governments (fund accounting) particularly related to accounts payable functions.

  • Skill following verbal and written instruction, policies and procedures.
  • Skill operating a variety of office equipment including, but not limited to, telephone, photocopier, FAX, adding machine, shredder, mail meter machine and folder/stuffer machine.
  • Skill responding tactfully and courteously to customer inquiries and complaints.
  • Skill making varied arithmetic computations and tabulations rapidly and with high accuracy.
  • Skill entering, accessing and retrieving information from a database.

  • Ability to communicate effectively both verbally and in writing.
  • Ability to utilize a personal computer and related software at a basic level to fulfill job requirements including, but not limited to, MS Office.
  • Ability to develop and maintain positive and effective working relationships at all levels within the Department and Community.
  • Ability to interact with employees at all levels.
  • Ability to attend to detail for prolonged periods of time.
  • Ability to adapt to changing work situations and environments.
  • Ability to assist others and meet schedules in a calm, efficient and effective manner while dealing with interruptions and pressure.
  • Ability to work on a team.
Minimum Qualifications

Qualifications:

Education: Graduation from high school or GED equivalent required.

  • For enrolled Community Members without a GED, must obtain a GED within the probationary period. Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMIC.

Experience: One (1) year full time work experience performing a variety of accounts payable related clerical and office support tasks, OR completion of an Associates Degree in General Business or closely related coursework may be substituted for 1 year required experience.

  1. Prefer at least 1 year college coursework AND 2 years full-time work experience performing a variety of accounts payable clerical / office support tasks.
  2. Prefer 1 year experience with PeopleSoft Financial Software preferably in Accounts Payable.

Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.

Special Requirements
