Position Summary |
UNMs Capital & Space Strategies (CSS) provides strategic coordination, guidance and planning resources for institutional space, facility physical assets and capital resources. CSS seeks an organized, detail oriented and self-motivated Administrative Assistant 2 to join our team. The ideal candidate will be highly motivated and able to work independently in a remote work environment, a self-starter with demonstrated ability to anticipate expectations and complete assignments in a conscientious manner. The position requires excellent communication skills both written and verbal. The selected candidate will have strong editing and proofreading skills and be customer oriented. Experience communicating with and coordinating high-level administrators for meetings or report materials is essential. Duties and responsibilities for this position include, but are not limited to, the following: Administrative support for CSS staff o Provides support for the HED Capital Project Approval and Capital Outlay submissions. o Assists CSS Data Manager to coordinate data delivery from other UNM Facility Groups. o Works with the ISS Planning Officer to develop unit reporting and publications. o Provides administrative support for CSS committees including Capital Planning Leadership Team, Facilities Investment Needs Team and Space Allocation Committees: scheduling meetings, keeping meeting minutes and attendance, preparing handout materials, etc. o Schedules and coordinates meetings for CSS staff o Orders supplies, printing, presentation materials, plotter/printer needs, etc. o Assists with the maintenance of the space and facility condition data entry as required. Financial Support o Coordinates travel arrangements for CSS staff conference or continuing education needs. o Procurement of needed resource or services for the department o Monthly reconciliation of operation budget o Assists with the development of the annual operating budget o Timekeeper Assignment Details Days & Hours: Monday - Friday, 8:00a.m. - 5:00p.m. Anticipated Start Date: TBD Projected End Date: 6 months from start date Parking Arrangements: Responsibility of the selected employee UNMTemps provides staffing solutions to UNM departments requesting temporary employees as positions become available due to a vacancy, when regular employees are absent, for peak work periods, and for special events. As such, UNMTemps assignments/positions may end with little or no advance notice. See the Position Description for additional information. |

Minimum Qualifications |
High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
