Position Summary

The Division of Community Behavioral Health (CBH), within the Department of Psychiatry & Behavioral Sciences, is seeking a highly motivated individual to join our dynamic team as an Administrative Assistant 3.

Duties include: assisting with project logistics, including contract development, budget monitoring, reporting and deadline adherence; managing purchases of supplies, arranging travel, and complex scheduling; developing data collection tools, maintaining databases and managing data entry--adhering to protocols, policies and procedures, as needed; providing daily administrative support to project faculty, staff and community partners; maintaining positive relationships with external agencies and stakeholders; assisting with credentialing, billing and continuing education; providing front desk reception and coverage, answering phones, scheduling, managing calendars and general office duties; activity reporting and more. This position will hold a purchasing card.

The qualified candidate should have in-depth knowledge of and experience with: behavioral health services, resources, issues and human services-related programs state-wide; providing broad administrative support and handling project logistics; establishing and maintaining positive relationships with internal and external community partners; scheduling meetings and events; and fiscal and administrative functions. The ideal candidate will have UNM pcard experience, as well as Chrome River and LoboMart. The desired candidate for this high energy position is customer service-oriented; efficient; and able to prioritize and manage multiple tasks simultaneously. The ideal candidate will also be proficient in data entry and management, and will be skilled in Zoom and other technologies. This is a full-time, benefits eligible position. We are planning to hire up to three positions from this posting.

The Department of Psychiatry & Behavioral Sciences is a multi-division department within the UNM School of Medicine. Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience working with diverse teams and stakeholders

Experience generating team agendas, assisting with implementation support, and developing marketing tools and reporting

Experience with data collection and management

Familiarity with UNM policies and procedures

Experience holding a UNM purchasing card

Experience with UNM financial systems, including Chrome River and LoboMart

Experience with Zoom scheduling, facilitation and coordination
