We are currently inviting applications from self-motivated and creative individuals to join our team as an Administrative Assistant III to work within one of our academic or administrative units to provide high-quality service and support to our faculty, students and staff. Administrative Assistant IIIs at Anderson work closely with the assigned Department Chair or Unit Leader to perform and/or oversee a wide variety of administrative, fiscal, HR, support, and planning activities and tasks. They may serve as a primary line of communication for faculty, staff, students, vendors and guests, and therefore should possess the ability to communicate effectively over the phone, via email, and in person. Additionally, the successful candidate will liaison with other UNM offices and personnel, as well as external individuals and organizations on a range of activities, including, but not limited to, organizing and facilitating meetings, conferences, and special events to coordinate logistics and resolve administrative issues.

The successful candidate will process travel and expense reimbursements, maintain schedules and aid in areas of recruitment, hiring, and orientation for faculty, student and/or staff employees. They may train and provide oversight to student employees, and provide specialized record-keeping, data entry, reporting, database management, and/or specified information-gathering projects and tasks on an as-needed basis.

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Ability to communicate effectively, both orally and in writing, ability to create, compose, and edit written materials.

Database management skills and ability to gather and enter data and compile information.

Skilled in the use of computers and related software applications to include, but not limited to Outlook, Microsoft Word, Excel, Power Point, and Adobe Applications.

Experience with scheduling appointments and meetings internal and external participants, planning and executing live and virtual events

Experience serving as primary administrative or operational liaison with internal and external department/agencies

Experience generating team agendas, assisting with implementation support, and developing marketing tools and reporting

Familiarity with UNM policies and procedures

Experience holding a UNM purchasing card

Experience with UNM financial systems, including Chrome River and LoboMart

Experience processing HR Transactions (UNMJobs, EPAFs, etc.)
