Position Summary |
The University of New Mexicos Project ECHO currently has an exciting opportunity to join our Admin Team as an Administrative Assistant 3. This position will support the South Central AIDS Education and Training Center and will report to the Operations Specialist. As an Administrative Assistant 3, you will play an integral role in: Managing multiple Outlook calendars Setting up zoom meetings Meeting minutes and professional correspondence through email to internal and external team members Assisting with project tracking Assisting with managing the Foundation database, such as tracking donors, proposals and pledges new accounts, tracking gifts and monitoring balances Facilitating travel and P-card transactions - airfares, hotel rooms, and reconciling expenses Securing conference room reservations and scheduling meetings Creating correspondence and other materials for meetings, conferences and training Data analysis and data entry Answering emails, phone calls, making copies, scanning/faxing and creating PowerPoint presentations and providing backup support to Admin Team Assisting with the Department monthly newsletter Project ECHO is a telemedicine and distance-learning program with partners all over the world. Work hours outside of normal business hours may be required. We are fortunate to have access to advanced technology, which will require some teleworking. Minimum Qualifications |
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
Preferred Qualifications |
- Proficiency in using Outlook - Managing multiple Calendars - Proficiency in Microsoft suite - Ability to pay close attention to detail while remaining extremely organized - Ability to create and manage professional correspondence - Proficiency in grammar and sentence structure - Strong background in P-Card transactions; reconciliation and tracking expenditures - Ability to problem solve and possess excellent communication and time management skills - Ability to maintain a high level of team-work and excellence - Ability to learn new skills quickly including zoom, Smartsheet, databases |
