Summary:

This position functions as a member of the administrative team by performing a variety of administrative duties to ensure the smooth day-to-day operations for the practice. Duties include, but are not limited to answering telephones, making appointments, assembling charts, scheduling surgery and all testing appointments, typing, transcription, data entry, filling, patient relations, referral management, billing, and overall administrative management for the practice.

Responsibilities:

  • Provides superior customer service to internal and external clients, customers, and patients as referenced in the Service Excellence Standards."
  • Performs duties and provides assistance according to Steward Medical Group policies and procedures, as well as and directives from the Director and Operations Administrator.
  • Answers and triages all telephones calls, routes appropriately taking into consideration the extent of emergency or of call, takes messages, follows through with each message ensuring that the physician has received the information, and provides routine information to callers.
  • Prepares the daily schedule for office, pulls and prepares the patient charts ensuring that the proper chart has been selected and the appropriate paperwork has been attached to the chart (i.e. encounter form, etc., confirms all scheduled appointments.
  • Schedules outpatient procedures and applicable testing for patients as directed.
  • Enters all charges for physicians, nurse practitioner and providers as needed.
  • Schedules patients appointments and appropriate testing for patients as directed. This includes surgical booking and pretesting. Verifies information from patients including demographic and health insurance information. Registers all patients, confirming insurance coverage and checking insurance eligibility. Call for prior authorizations for scheduled surgeries.
  • Prepares documents for billing physician encounters, enters data, ensures referrals are received, etc. Inputs charges, demographics, referral information, and appointments into the system. Responsible for daily reconciliation of all batches originating from the Practice. Responsible for adhering to all policies and procedures relative to the Meditech system.
  • Organizes, updates files, charts, and records.
  • Uses discretion at all times to ensure patient confidentiality. Conforms to the confidentiality Policy of Steward Health Care System.
  • Responsible for general filing, stocking of supplies and ordering supplies.
  • Performs other duties as requested.

Qualifications:

  • High school diploma required. Associates preferred.
  • One to two years related experience, preferably in a health care setting.
  • Medical terminology preferred.
  • Experience with EMR and MS Office Suite
  • Strong communication skills, interpersonal and customer service skills.
  • Knowledge of insurance coverage systems, including but not limited to co-payments,
  • referrals, HMO, PPO, and capitated products, preferred.
  • Ability to analyze operational issues and solve them creatively.
