Job Description:

We are looking for a dynamic administrative assistant to support multiple executives across multiple functions, including the VP Investor Relations Officer, and the senior directors in Treasury, Insurance and Financial Planning & Analysis in our Finance Department. This is an excellent opportunity to build upon your professional experience in a fast-paced team environment. You will be a critical team member and will perform a wide variety of specialized and administrative functions. Responsibilities:

  • For VP level provide extensive calendar management and complex senior leadership and external meeting planning in Outlook; manage all travel arrangements and logistics including itinerary building (travel arrangements, passport and visa documents) and expense report processing
  • For Senior Director level across Treasury, Insurance, and Financial Planning, provide calendar support, particularly for large group meetings involving members of executive management, cross functional teams, and/or external stakeholders and travel support
  • Develop and maintain working relationship with bankers, rating agencies, sell-side analysts, and key investors, including tracking of requests, maintaining investor profiles and logging of meeting notes
  • Develop and maintain key internal working relationships with peers supporting the MCD senior leadership team, finance leadership, key market leadership stakeholders and cross-functional peers and leaders
  • Participate in the coordination and editing of communications, processes, tasks, and timelines that align with and support the overall goals of the team and organization while taking advantage of new and changing technology available to our teams
  • Develop, consolidate and edit PowerPoint presentations, agendas, meeting summaries and other materials in support of department meetings
  • Process correspondence and invoices for departments supported
Qualifications:

  • Minimum 5 years experience supporting team executives in a corporate environment
  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint, Teams) and WebEx or similar meeting tools with demonstrated ability to learn new technology capabilities

  • Polished professional comfortable interacting with Executive level management
  • Demonstrates ability to handle and maintain confidential information
  • Excellent communication skills
  • Must be very proactive and energetic, self-led, and results oriented
  • Embraces team first approach
  • Demonstrates a strong ability to influence with superior negotiation skills
  • Quick learner and ability to understand complex business issues with demonstrated ability to complete large volumes of work efficiently and effectively
  • Ability to be a culture agent, being the first impression and interaction for many external stakeholders
  • Must be organized, motivated with superior follow-through
  • Must be able to prioritize and work well under pressure
  • Ability to adapt to a constantly evolving business and work environment
