Administrative Assistant
Department: Administrative
Location: Ocean Springs, MS

  • $14-$15 an Hour
  • Monday - Friday 8am-5pm

Executive Summary of Position:

Oversees daily operations of business and assists with a wide variety of branch duties

Essential Duties:

  • Systematize, document, and formalize all tasks and workflows in Google Docs and sheets.

  • Help develop and maintain workflows, checklists, and systems for Team

  • Assist in creating and maintaining procedures to keep things organized

  • Coordinate appointments & meetings, manage a 7-day business & personal calendar in 30 minutes blocks, filter and respond to email, book travel, coordinate live events, send gifts & thank yous to people, and take care of all other personal & business admin support for our team.

  • Communicates Employee needs to management

  • Aids in keeping branch in compliance with new & fluctuating regulations

  • Provides Information by answering questions & handling requests

  • Helps in the Facilitation & arrangement of training, meetings and projects as needed

Other Duties:

  • Handle multiple tasks simultaneously.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Participate by example through sharing of knowledge and skill to promote a positive team work environment.
  • Comply with all safety policies, practices and procedures.
  • Reporting of potential or actual violations of such policies, practices and procedures to Supervisor.
  • Perform other duties as assigned by Management.

Education, Knowledge, skills, Abilities and Experience:

  • Must have experience with Outlook, g-mail, google docs, g-drive, google calendar, google contacts, google sheets,
  • Previously worked in some type of CRM / project management tool (think Slack, Asana, Total Expert, Skipio, or some other similar project)
  • Excellent phone etiquette, excellent verbal communication, and customer service driven.

  • Reasoning ability includes common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar

Working Conditions:

Requires light physical activity performing non strenuous daily activities of an administrative nature as well as periods of prolonged sitting. Requires extensive typing, filing and writing. Requires the ability to speak and hear.
