***Administrative Assistant Pain Clinic 40hrs/Days

POSITION SUMMARY:

Administrative Assistant within the Pain Clinic. A skilled and responsible administrative position requiring attention to detail and communication skills working in a small office environment.

KEY RESPONSIBILITIES:

  • Scheduling and confirming all scheduled appointments (OR and office)
  • Pre-Printing all necessary forms (NOPP, Verbal Consent, Health History, Opiod Risk Assessment)
  • Confirming insurance eligibility
  • Obtain referrals from PCP if one is required
  • Addressing outstanding balances.
  • Check-in/out all patients- Included but not limited to:
    • Confirming all demographic information is correct, including pharmacy
    • Ensuring all paperwork is completed
    • Confirming current insurance is active, card on file, updating PCP information
    • Collecting copayments and outstanding balances
    • Scheduling any follow-up appointments as requested
    • Obtaining P/A and Scheduling testing for MRI, CT, EMG, ultrasound
    • Obtaining P/A or referral and scheduling procedures
    • Send orders for PT/ other MD referrals will be sent to the designated provider
  • Process Patient No Shows
  • Completing tasks in MH_HOSP PAIN MGMT OUTPT STAFF bucket using department computer software.
  • Barcoding and scanning in all documents received (via mail or hand delivered)
  • Forwarding medical record requests to the appropriate group.
  • Preparing consent forms and documents for scheduled OR procedures.
  • Answering phone calls, voicemails, return messaging and entering cases to appropriate physician/staff.
  • Billing tasks for all appointments and procedures, in both department and hospital systems.
  • Office supply ordering.
  • Assists in maintaining a safe environment and intervenes appropriately.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
  • Commits to recognize and respect cultural diversity for all customers (internal and external).
  • Communicates effectively with internal and external customers with respect of differences in cultures, values, beliefs and ages, utilizing interpreters when needed.

  • Performs other duties as assigned

REQUIRED KNOWLEDGE & SKILLS:

  • Orients or precepts new personnel as assigned and acts as a resource for other professionals, patients and others.
  • Knowledgeable of the units specific quality indicators.
  • Actively seeks out unit and/or service related classes.
  • Maintains compliance with hospital unit specific competencies.
  • Attends staff meeting and/or reads staff meeting minutes to stay abreast of happenings within the organization.
  • Recognizes and seeks assistance/consultation when appropriate.
  • Demonstrates an understanding of relative hospital and all-departmental policies and procedures including safety issues.
  • Ability to work independently with well developed organizational skills in order to prioritize tasks.
  • Demonstration of flexibility and willingness
  • Demonstrates verbal and written communication skills to effectively interact with staff through voicemail, email, etc.

EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:

  1. Education: High School Diploma or GED
  2. Experience: Health Care experience preferred.
  3. Certification/Licensure: N/A
  4. Software/Hardware: Athena, Meditech Experience Preferred but not required
