Job Description

Placement Range= $18.99 to $20.74 depending on experience.

Meeting the mission of inspiring every child to achieve means ensuring highly skilled and motivated people work in roles throughout the District. The Management Information Systems plays a central role in providing technology needs throughout the district, and the Administrative Assistant Management Information Systems is a critical person in this department. The Administrative Assistant is responsible for performing office management activities that will ensure the smooth and efficient operation of the Management Information Systems Department while providing support to the Director of Management Information Systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Maintains general information and knowledge of District operations.
  • Prepare and write routine correspondence dealing with subject matter using discretion and judgment, replying to inquiries presenting or requesting information.
  • Maintain files, keep current by entering data, review and examine for errors and correction, in accordance with established practice.
  • Maintains appointment schedule for the Director of Management Information Systems.
  • Calculate and compute expenses, receipts, and other data for daily and periodic records.
  • Maintain time and attendance records for the Management Information Systems Department.
  • Maintain a filing system for contracts, agreements and leases.
  • Assists the Director of MIS with project management responsibilities, including preparing presentations on PowerPoint and/or Publisher.
  • Process purchase requisitions and manage procurement processes, including ordering supplies for the Management Information Systems Department.
  • Serve as project coordinator and point of contact for the MIS department, fielding requests, organizing schedules, maintaining filing systems, and developing administrative process improvements.
  • Manage hardware ordering process and coordinate inventory of MIS assets
  • Coordinate contracts with vendors and suppliers, including managing invoicing, and payment processes.
  • Manage vendor invoices and work closely with the finance department to ensure they are paid accurately and on time.
  • Keep MIS licenses and leases up-to-date.
  • Escalate issues to management.
  • Serve as an administrator for all tasks within the department including recording minutes, arranging schedules of events, proof-read documents, etc.
  • Regular attendance and punctuality.
  • Ability to maintain professional demeanor under stress and operate within customer support standard and operating procedures.
  • Complete other duties as assigned.

QUALIFICATIONSRequired
  • High school diploma or GED is required.
  • Experience with Google Workspace and/or MS Office
  • Demonstrated ability to function effectively and with great attention to detail while managing multiple tasks
  • Demonstrated ability to work well both independently and as a member of a team
  • Excellent oral and written communication skills
  • Ability to handle sensitive information with a strict level of confidentiality
  • Ability to adhere to defined processes and procedures and suggest improvements
  • Produce effective written correspondence and reports in a timely manner.
  • Prioritize multiple tasks.
  • Effectively engage with staff and the public.
Preferred
  • 3-5 years experience in a similar role, including project coordination or systems administration experience
  • Experience reporting directly to executive-level staff
  • Familiarity with technical terms and specifications an asset

The noise level in the work environment is moderate to loud and can vary in temperature. The nature of this position is fast-paced and may occasionally be thought of as stressful. Through interaction with the public and other district employees, the employee may encounter different scents.
