DISTINGUISHING FEATURES OF THE CLASS:
The Administrative Secretary provides secretarial assistance to the Administrative Assistant, Director, and other
administrative personnel. The Administrative Secretary is responsible for scheduling meetings, maintaining
department files, inventory control, and logging all incoming and outgoing mail.

ESSENTIAL FUNCTIONS:
0 Provide assistance to the Director, Administrative Assistant, and other administrative personnel on day-to-
day operations.. Maintain inventory of office supplies and equipment.
0 Process and scan various types of documents which may include work orders, correspondences,
memorandums, etc.
0 Review, edit, and revise memorandums, reports, and other documents prepared prior to submission to
Administrative Assistant, Director, and other administrative personnel.
0 Utilize the department vehicle to delivery and pick up documents various department and entities.o Responsible for receiving, stamping, distributing, and logging department mail.
0 Responsible for entering and researching maintenance work orders and reports when necessary. (Applies to
Facilities Maintenance Only )0 Enter information regarding purchase orders into MUNIS for approval. (Applies to Facilities Maintenance
Only).
0 Create, maintain, and revise all logs and listings for the Tribal Gaming Office. (Applies to Tribal Gaming
Only).
0 Assist the Administrative Assistant with maintaining departmental records for cuff accounts and budget
documents. (Applies to Tribal Gaming O?ice Only)0 Prepare monthly billing for the Arizona Department of Gaming. (Applies to Tribal Gaming O?ice Only )0 Perform other related duties as assigned.REQUIRED KNOWLEDGE. SKILL AND ABILITY:Considerable knowledge of English language, grammar, spelling and punctuation.Considerable knowledge of modern office practices and equipment.Knowledge and skill in use of computers and related programs (Microsoft Word, Excel, Access, etc.).
Knowledge and skill in typing and other secretarial functions for duties assigned.Knowledge of cuff accounts. (Applies to Tribal Gaming O?ice Only)Ability to understand and carryout verbal and written instructions.Ability to prepare required records and reports.Ability to maintain orderly and accessible files.Ability to establish and maintain effective working relationships with other employees, Community Officials
and the general public.
0 Ability to perform all physical requirements of the position; agree to maintain a Drug-free workplace.REQUIRED EDUCATION AND EXPERIENCE:High School diploma or GED and three (3) years in administrative support or secretarial experience.ADDITIONAL RE! 2UIREMENT:Required to obtain a Tribal Operators permit. Valid state drivers license with a current proof of driving record
for the past 39 months will be required to qualify for a tribal driving permit. Proof of driving record must be
submitted with application and must not be more than 60 days old from the date of submission of the
