Under administrative direction, serves as the primary point of contact for the Vice Provost for Academic Innovation and Student Achievement and Dean of University College. This position will manage complex projects, travel schedules, special events, and correspondence, while maintaining collegial and collaborative relationships with hundreds of partnering institutions and organizations. The focus of this job centers around producing timely results that are high quality and accurate. This individual Performs varied advanced secretarial and administrative work unique to the work unit requiring initiative and independent judgment. Benefiting from an analytical, inquiring and critical mind, this job requires imagination and strong problem-solving skills. The job requires an ability to deal with systems and ideas and all of that in an organized and self-disciplined way. It also requires that serious consideration be given to all possibly related facts and potential problems. This job demands deep knowledge and expertise and to do it successfully depends on understanding detailed information. Intellectual confidence is important in this job and to do it well requires close, hands-on involvement, careful follow-up and very disciplined, and limited, delegation. This individual handles problems and non- routine situations by determining the approach or action to take and interprets guidelines, procedures, policies and practices. Incumbents will have contact with high- level administrative offices requiring use of business vocabulary, tact, discretion and judgment. Salary Range $53,600 - $64,000 per year; DOE

Essential Duties Advises and stays current on the Vice Provost's portfolio in order to provide support for the reporting units Reviews and prioritizes confidential incoming mail and email, social media tools used by the office, as well as telephone and in-person inquiries Coordinates projects as directed by the Vice Provost, to include creation of presentation documents (PowerPoint) drafting communication (Word) and tracking progress (Excel, project management software) Requires an in-depth understanding of office and university policies Acts on behalf of the Vice Provost and in the implementation of plans, policies and procedures Maintains detailed record keeping system to track upcoming deadlines and work for the Vice Provost Maintains the Vice Provost's calendar by coordinating and scheduling meetings, paying attention to time -sensitive issues and other challenges that necessitate close communication to provide maximum support and efficiency Coordinates travel arrangements, including preparation of itineraries and accommodations; prepare and submit travel authorization s and reimbursement requests Coordinates special meetings for the Vice Provost obligations and deadlines ensuring access to appropriate materials and documentation for upcoming meetings and events Prepares research, reports, presentations, memos, and other sensitive documents Stays abreast of the priorities and status of projects and follows up on pending matters Assists the Vice Provost with confidential and highly sensitive projects, including service on committees Coordinates arrangements for hosting of meetings, programs, retreats, and guest speakers Composes correspondence involving judgment for non-routine, significant inquiries and problems Performs special assignments as instructed by the Vice Provost in the office


Minimum Qualifications Bachelor's degree in Business Administration or a related field and five (5) years of experience in administrative support; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
