Position Summary:

As the Operations Services Supervisor, you will have the opportunity to provide support to Branch Operations in a back-office capacity for deposit account documentation, account and system maintenance, and various other areas. You will use your knowledge and skills to serve as a subject matter expert on levys, garnishments, and subpoenas, as well as POAs, trusts, guardianship, and other special account titling. Other major responsibilities will include:

  • Assist in the research of unclaimed property and assist in the preparation and mailing of unclaimed property letters from March through October.

  • Add, track and remove customers on/from backup withholding on a weekly basis.

  • Provide exceptional internal customer service and answer and/or assist with questions or issues from Retail Staff or other departments on a daily basis.

  • Manage the day-to-day operations of the department and train new employees

Qualifications
  • High school diploma or general education degree (GED) required.

  • Three to six months related experience and/or training

  • Experience reviewing legal documents for accuracy preferred

  • Supervisory experience preferred

  • Knowledge of database software, spreadsheet software, and word processing software.

Position Description:

Essential Duties and Responsibilities include, but are not limited to, the following:

  • Process and record C-Notices, B-Notices and Penalty Notices received from the IRS within the timeframe allotted.

  • Record and monitor all W-8BEN customers, including follow up on expiring forms.

  • Add, track and remove customers on/from backup withholding on a weekly basis.

  • Act as a resource for POAs, Trusts, Guardianship, Rep Payee and other special account titling.

  • Assist in the research of unclaimed property and assist in the preparation and mailing of unclaimed property letters from March through October.

  • Assist with Audit request document retrieval.

  • Remit funds for unclaimed property for states as needed.

  • Act as back up for IRA/HSA Product Manager when needed.

  • Act as back up for Operations Services Specialist when needed.

  • Act as back up for Levys, Garnishments, and Subpoenas when needed.

  • Travel to branches to promote and maintain the flow of communication with our front line staff.

  • Provide exceptional internal customer service and answer and/or assist with questions or issues from Retail Staff or other departments on a daily basis.

  • Perform daily name and address merges, as well as daily file maintenance for system clean up.

  • Promote and implement the bank's sales culture and service philosophies.

  • Train new employees

  • Oversee special projects

  • Manage the day to day operations of the department and its employees.

  • In the absence of Operations Services Manager, carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.

  • Other duties as assigned.
