Job Description
Purpose: Function as the first contact and manager for United Tissue Resources Birth Tissue Acquisition services. Provide program oversight to the day-to-day operations of the birth tissue department and be the liaison between executive team and departmental leadership. Meet and exceed internal & external customer expectations and adhere to established quality practices while continually seeking to improve and expand upon performance and knowledge for self and staff.
Responsibilities & Expectations:
Birth Tissue Acquisition Program Manager
· Serve as the primary Birth Tissue contact, internally and externally, and subject matter expert for all birth tissue activities.
· Develop and manage the acquisition of birth tissue for transplant for all UTR accounts.
· Manage and assist in the execution of contracts for facilities serviced.
· Manage contracted facility site operations (including designated UTR clinical storage areas) including day-to-day operations for the department, including workflow, documentation, and departmental deadlines. Coordinate the process for collections with hospitals, physicians, L&D, etc.
· Serve a backup for daily operations on site at partnered facility including donor evaluation, , aseptic collection of the tissue, packaging, labeling, shipment and obtaining informed consent for transplant, documentation, research and/or education.
· Maintain compliance with FDA, AATB, GMP, and organizational guidelines, protocols, policies, and procedures.
· Provide direction and motivation for staff; including conducting interviews, make hiring, promotion, demotion and termination recommendations; oversee staff timecards and special pay approvals.
· Provides direct supervision to staff for adherence to the appropriate policies, goals developed, and results obtained. Provides management oversight for technique, documentation practices, time efficiency, supply utilization, and establishment of activities necessary for the department to meet the needs of the organization.
· Provides leadership and training; including monitoring and evaluating employees’ work performance to advise staff of the requirements and expectations of their positions and provides feedback using direct observation and oral/written communications via performance reviews and goal setting.
· Provide support to the Donor Family Services program which includes aftercare mailings and donor recipient letters.
· Manage Donor Family Services educational support content including donation outcome reports, materials for physicians and clinic staff, expecting mothers, hospital staff on the collection process/procedures.
· Manage and coordinate multi-stakeholder events, specifically partner related and UTR Donor Family events.
· Provide support to community engagement events in coordination with UTR communications deliverables.
· Serve as back up support to supply chain management for UTR critical supplies.
· Monitor and review budget goals with executive leadership.
· Establish and Manage UTR Operational deadlines with internal management team members, as well as shared services.
Billing
· Collaborate with Program and Billing Manager to create and compile predefined internal metrics to monitor the financial performance of and vendor accounts. Report to leadership upon review of documentation, metrics, and data management.
· Assist Accounts Payable, Accounts Receivable, and Tissue Administration to reconcile any item pricing and payment discrepancies.
· Assist Executive Management and Accounting Departments with financial reporting numbers.
· Assist Executive Management with contracting and hospital accounts request for proposals.
· Manage and perform month end usage reports for hospital accounts.
· Active interaction with internal and external Shared Service Partners and Vendor accounting departments.
· Supervise and participate in the implementation of new billing systems.
· Assist in compilation and tracking of accounts payable and receivable for Birth Tissue Department.
· Compile and submit for serology reimbursement rates to outside processors. Responsible for internal tracking of serology billing amounts, allocated SSPs, dates billed.

Skills, Education & Experience:
· Degree in related field and relevant medical experience required (Healthcare, Nursing, etc.).
· 3-5 years’ experience of Hospital, Public Health Patient Care, or Clinical and Customer Care required. Prefer experience in L&D, Sterile techniques, Cord Blood, or tissue collection.
· Relevant experience may substitute for formal education.
· Must have working knowledge or nursing practices and procedures.
· Supervisory or team lead experience is required.
· Excellent customer service skills are required. Must be professional, self-motivated, and innovative.
· On-call responsibilities as required.
· Requires computer literacy with knowledge of software packages including experience with Microsoft Office software.
· Must be able to perform data entry accurately and maintain a high level of attention to detail with documentation and performance of assigned tasks.
· Must be able to prioritize and handle multiple tasks at once. Be able to handle interruptions while staying on task to meet assigned deadlines. Project management skills preferred.
· Must have excellent organizational skills and ability to work with minimal supervision.
· Must have excellent communication skills both verbally and written.
· Must be able to maintain confidentiality, exhibit professionalism and discretion at all times.
· Ability to make sound judgments and decisions to plan and accomplish goals.
· Must be at least 21 years of age, have a valid Texas driver’s license, proof of insurance, and an acceptable driving record.
