Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
Coordinates the collection, entry and dissemination of database information and special reports (daily, weekly, monthly and annual) for the Mental Health Region and John T. Montford Psychiatric Facility and coordinates with TDCJ, TTUHSC and Managed Health Care administrative personnel to provide statistical data necessary for completion of auditing and accreditation documentation. Collects data and works with Regional Mental Health Director and Clinical Director and Administrator to organize and develop monthly reports that enumerate TTUHSC Units mental health caseloads, patient contacts and staffing. Distributes reports to appropriate CMHC administration of TTUHSC, TDCJ and UTMB. Assists in the collection of and accumulation of data for use in ACA accreditation. Maintains ACA psych folders with current data.

Maintain written and oral communication and correspondence with administration and department heads on issues pertaining to administrative support staff. Maintains written, oral communication and correspondence with TDCJ staff members on issues pertaining to offender / treatment issues. Coordinates and disseminates information on behalf of medical director and MH Administrator to local and regional staff members. Responds to correspondence (phone and written) concerning local and regional activity. Maintains schedule and correspondence for Mental Health Director and Unit Health Administrator for local, regional and state activities. Manages the Regional Mental Health Director and the Mental Health Clinical Directors office. Responds to requests for assistance/information from clinical staff on behalf of the Regional and Clinical director and unit administrator for local, regional and state activities. Coordinates and maintains confidential and routine records and files for local and regional clinical personnel. Maintains confidential information concerning management, staffing and budget issues and other personnel issues.

Participates in meetings, including Regional Management Team, and/or committees as needed to represent the clerical department. Conducts regularly scheduled staff meetings to disseminate pertinent information obtained through other meetings and/or committees. Coordinates mandatory training to meet applicable state laws, policies, regulations and national standards.

Call Schedules: Organizes and distributes the daily psychiatric call schedules for both in-house and regional coverage. Coordinates with Mental Health Director and regional psychiatric / mid-level staff to ensure adequate coverage. Maintains communication with staff at local and regional units to make adjustments to coverage schedule as necessary.

Time clock: Uploads time clock entries into the Banner/payroll system. Ensures accountability of records for timekeeping for administrative support staff. Supervises and maintains time clock and attendance records for psych staff. Makes corrections or additions to time records for staff as assigned.

Coordinates monthly and bi-monthly meetings for management and clinical staff within the TTUHSC region and may include staff of TDCJ and UTMB. This involves scheduling of meetings, collection of and distribution of reports for meeting, as well as recording and maintaining meeting minutes.

Preferred Qualifications
Five years of progressively responsible related experience, preferably in a clinical, mental health or correctional setting. Two of those years or more of education or training in office management skills, word processing, database management, and graphics presentation is preferable.
