Job Description

Under limited supervision of the Business Operations Manager, the Business Operations Specialist performs a broad scope of fiscal and business duties. This position assists with planning, organizing and coordinating the business operations functions in accordance with established goals, priorities, time limitations, funding limitations or other specifications. These functions include basic budgeting, accounting, payroll, staffing, contracts management, and other functions designated by supervisor. The Business Operations Specialist is someone who has a curious mind, a focused attention to details, and aspires to cultivate a career in a profession with various opportunities for growth, demonstrates excellent customer service skills, values continuous development, and enjoys complex problem solving.

 

Salary Range

$40,464 - 54,200 per year; DOE

Qualifications

Minimum Qualifications Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Desired Qualifications · Demonstrated Knowledge of basic principles, practices and methods of accounting, budgeting, and inventory management · Experience with purchasing principles and department purchasing card and reconciliations · Demonstrated knowledge of procedures associated with automated accounting system in an academic setting · Experience in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems. · Demonstrated knowledge of HR principles, hiring, supervising and directing the work of others · Demonstrated knowledge of ASU systems: Workday; Concur Travel; Amazon Workspaces; Kenexa; PeopleSoft; ADOBE; Microsoft Office Suite; Slack. · Experience in analyzing, foreseeing, and developing effective solutions for logistical problems · Experience in working effectively in an environment subject to quickly changing priorities, sensitive information and short deadlines. · Experience in performing work that requires attention to detail, forward thinking, time management and a high-level of customer service · Evidence of establishing and maintaining effective working relationships in a professional capacity. · Evidence of effective communication skills.

Responsibilities

Essential Duties · Assists Business Operations Manager in preparation and/or coordination of operations and budget proposals · Maintains the various reconciliation spreadsheets, enters detailed expenditures information in shadow system and monitors timely payments and requisition processing. · Maintains inventories of school assets, including electronic equipment, ensuring proper documentation of receipt and returns. · Assists faculty and research staff with the management of their startup/research funds, providing budget information, guidance, and interpretation of university and school regulations governing fiscal expenditures. · Monitors expenditures to ensure compliance; informs Supervisor of irregularities and proceeds with corrective action. · Reviews and acts as first approver for travel requests and expense reports using ASU Concur travel system. · Prepares, reviews and processes financial documents such as reimbursements, purchases, payments, using Workday financial management system and the Purchasing Card (PCard) in accordance with established procurement and financial policies. · Assists in the development of contracts and agreements in accordance with state and university policies and procedures. · Provides technical direction, interacts and maintains liaison with internal and external suppliers in facilitating payments and purchases, utilizing the ASU Financial Management System (Workday). · Keeps informed of financial policies, regulations, policies and procedures set forth by the university, interprets pertinent rules, keeping faculty and staff informed of relevant changes. · Assists with audit requests and maintenance of documentation for payroll, PCards, and financial records. · Assists in developing recommendations for the implementation of procedures for daily operations of assigned functions according to established policies; · Assists with coordination and processing of personnel searches and hiring using Kenexa Hiring System · Serves as front desk supervisor, Provides work direction and in-person oversight for the activities of assigned staff or student workers. · Performs activities associated with Department Time Administrator for All student workers to ensure accurate and timely recording of time in the system. Acts as back up for BOM. · Attends weekly department meetings, and other related school and universities staff meetings · Other duties as assigned Working Environment Activities are performed on campus, in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions.
