Job Description
The School of Biological and Health Systems Engineering is seeking a highly motivated, outgoing, and dynamic Business Operations Specialist to perform business operations functions and support human resource duties in a high-paced and complex department that supports a diverse group of faculty, staff and students. This position is an exciting opportunity for a highly skilled and motivated applicant to be part of the School of Biological and Health Systems Engineering business team.
Under the direction of the Business Operations Manager, Sr., the Business Operations Specialist is a key contributor to the unit, performing financial transactions, purchasing duties, travel processes, analysis and supporting human resource functions. The incumbent will maintain effective working relationships with faculty, staff, students and vendors; handle confidential and sensitive information; use software applications as it applies to position; be proficient in policy and procedure; simultaneously manage multiple projects; multi-task in a team environment; and work collaboratively and effectively with faculty and staff in an environment subject to rapidly changing priorities.
Salary Range
$50,000-$57,930 per year; DOE

Essential Duties
- Process purchase and payment of goods and services, travel reimbursement and Pcard transactions in accordance with established procurement and financial policies.
- Initiates and enters journal entries for cost allocations and transfers.
- Process reimbursements and accounting transactions in ASU and Foundation financial system ensuring compliance with donor intent.
- Serves as the first level of review for all travel authorization requests and expense submissions.
- Manage purchasing card including purchases, reconciliation and/or reallocations.
- Conduct account management through reconciliation, reporting and data analysis utilizing WorkDay regularly and at month end close.
- Develops recommendations for implementation of procedures for daily operations of assigned functions according to established policies; prepares and updates internal manuals.
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Demonstrated knowledge of purchasing and financial policies and procedures.
- Demonstrated knowledge and understanding of travel authorizations and reimbursements.
- Experience with university procurement systems (such as WorkDay, SunRISE, P-Card).
- Experience in multi-tasking in a team environment.
- Experience working effectively in an environment subject to tight deadlines and quickly changing priorities.
- Evidence of effective communication skills.
- Experience using Microsoft Office applications (Excel, PowerPoint, Word, Outlook).
- Experience in using customer service skills.
- Experience in higher education preferred.
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
- Required to stand for varying lengths of time and walk moderate distances to perform work.
- Infrequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
- Regular activities require the ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate to perform essential functions.
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
