Job Description

Grand Canyon University's Office of Campus Recreation is hiring an Administrative Assistant. This position will work under direct supervision, with specific instructions on routine or semi-routine work. This position provides a variety of administrative duties to support the Office of Campus Recreation, including receptionist duties and coordinating office functions for daily operations that occur in the Office of Campus Recreation.

Responsibilities:

  • Plan and organize the office support operations for the department, ensuring smooth and effective services and operations.

  • Answer phones and respond to inquiries and other requests for information in a timely manner; provides receptionist duties greeting all visitors.

  • Provide administrative services to the Director of Campus Recreation including researching and compiling data, summarizing information and creating reports, creating and modifying documents using word processing software, creating and updating data using Excel functions.

  • Assist in reconciling the sales of recreation memberships using the campus rec Fusion software.

  • Return phone calls or e-mails to students that need follow-up with membership questions or issues.

  • Assist in planning and arranging meetings, that take place in the Campus Rec conference room and or classroom area.

  • Process purchase order request for campus Rec invoices to go through the procurement system.

  • Maintain and order office supplies; as well as other office supplies request from other Campus Rec professional staff.

  • Receive and reconcile receipts, statements, invoices, expense reports etc., identify and resolve discrepancies, and submits for payment or approval in a timely manner.

  • Other duties as assigned.

Qualifications:

  • High school diploma, or equivalent, is required.

  • An associate degree from an accredited college/university is preferred.

  • Minimum of 2 years experience in an administrative or office capacity which includes prior experience using computers and office software.

  • Must pass pre-employment background investigation.
