POSITION SUMMARY

The Center Support Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the corporate office. Supports leadership and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Qualifications

ESSENTIAL SKILLS AND EXPERIENCE

  • High school diploma or GED or greater from an accredited institution AND greater than one (2) years experience in a clerical or administrative role
  • Excellence in customer service
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • Microsoft Office skills (Word, Excel, PowerPoint)
  • Attention to detail and problem solving skills
  • Strong organizational and planning skills

NONESSENTIAL SKILLS AND EXPERIENCE

  • Evidence of valid Arizonas drivers license and current auto insurance
  • Demonstrated experience as an Advocate for Health Care or Human Rights
  • Fluency in a language in addition to English (Spanish preferred)

POSITION REPONSIBILITIES/ESSENTIAL

  • Greeting and providing general support to staff, clients and visitors
  • Screens/greets all persons (i.e. patients, visitors, vendors, and staff) entering the health centers by using a touchless thermal scanner while wearing the appropriate Personal Protective Equipment (PPE)
  • Ensures completion of COVID-19 Screening Log as necessary
  • Follows all proper guidelines and procedures for any person who has an unsatisfactory temperature or response to screening questions
  • Maintains patient, visitor, staff confidentiality in compliance with HIPAA
  • Must be able to perform all job duties in a safe manner while following all company policies and procedures
  • Maintain and organize the public areas (lobby, meeting rooms, etc.), mailroom, and other shared areas within the corporate office
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Organize and schedule meetings and appointments
  • Maintain meeting room, conference line, and vehicle reservation calendars
  • Coordinate meeting room set up
  • Place and track catering orders
  • Provide parking validation for guests and vendors
  • Receive, sort and distribute the mail
  • Accept and distribute all deliveries
  • Ensure operation of office equipment; calling for repairs as needed
  • Assist in the preparation of regularly scheduled reports
  • Contribute to team effort by assisting other corporate departments in a variety of tasks
  • Other duties as requested or assigned

Work environment: While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time when traveling to various clinic sites. The noise level in the work environment is usually moderate. The employee may be subject to health hazards (contagious diseases, blood borne pathogens, etc.) when working in the clinic area.
