Under the general direction of a department head or supervisor, the Clerical Specialist is responsible for providing general clerical office support and records maintenance. The Clerical Specialist serves as a resource to citizens and fellow employees by answering frequently asked questions both in person and via phone, directing inquiries to appropriate department(s), and relaying information to various persons in a courteous, timely and professional manner. This position may cross-train in one or more areas of department functions. Position requires regular and reliable attendance.

ESSENTIAL FUNCTIONS: For purposes of 42 USC 12101

  1. Answers incoming phone calls, directing caller to appropriate department or providing information.
  2. Greets building visitors, directing them to appropriate department or personnel, providing general city-wide information, and providing specific information about department policies/programs.
  3. Processes cash and non-cash payment transactions ensuring accuracy.
  4. Performs income tax data input and posting.
  5. Accepts for and signs for deliveries.
  6. Prepares daily outgoing mail and sorts incoming mail to each department.
  7. Assists Cemetery Manager (e.g., fills in when Cemetery Manager is absent; scans, maintains, and enters data of cemetery records; responds to customer requests; assists in the layout of new cemetery sections; conducts periodic research of cemetery grounds).
  8. Performs other duties as assigned.

PHYSICAL REQUIREMENTS

  1. The primary duties of this class are performed in a general office environment.
  2. Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to communicate effectively on the telephone and in person.
  3. Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to review documents and file them in a prescribed order, and to organize documents and materials according to instructions.

Computer, copier, phone, scanner, Pitney Bowes Postage Meter, and other standard/modern office equipment; computer software (e.g., Microsoft Office, Authority Tax, Utility Billing CMI, Legacy Mark, CityWorks, and other applicable computer software).

Training, Experience, and Qualifications

QUALIFICATIONS:

EDUCATION/EXPERIENCE

  1. Possession of a high school diploma or GED equivalency.
  2. Related experience and/or training preferred.
  3. Regular and reliable attendance
  4. Any combination of training and experience which will indicate the possession of the skills, knowledge and abilities listed below.
Supplemental Information / Special Requirements

This is a part-time position, with a normal schedule of Tuesday & Wednesday 8a-5p, Thursday 8a-2p, and Friday 8a-5p. These hours are subject to change dependent upon the needs of the department.
