Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions
  • Perform general secretarial/clerical work and provide direct support to all staff members of the Office of Student Affairs (OSA). May assist prospective students and current students with scheduling appointments and oversee the electronic scheduling platform; monitor, order, distribute and maintain office supplies, receive and sort mail.
  • Maintain front reception area and receive all telephone calls and student inquires from prospective and current students. Provides general program information to prospective students and general public. Will direct calls or inquiries to the appropriate OSA staff members and other departments within the university if needed.
  • Receives, processes, and verifies incoming university transcripts for all nursing programs. Scan and upload documents to the electronic student file in Banner Document Management (BDM). Maintains current and prospective student files within databases.
  • Assist with other duties as assigned.

Preferred Qualifications
Five years prior experience working in an office environment preferably in an educational setting. Competent and experienced in digital systems (Banner, Ellucian Products, Microsoft Office, Adobe). Experience with budget management. Bilingual in Spanish.

Pay Statement

Occasional Duties
  • Coordinates and executes events for the Office of Student Affairs. Responsible for ordering of items required for proposed functions/events. Reserves rooms utilizing the Event Management System (EMS) and TechBuy system to procedure required materials.
  • Responsible for processing all OSA financial transactions and records, i.e. purchase orders, direct pay, food and entertainment, budget transfers, work orders, travel, etc. Monitors budget transfers as needed, in coordination with the Finance Department of the Gayle Greve Hunt School of Nursing (GGHSON). Generates and maintains logs of expenditures and encumbrances.
  • Coordinates and assembles packets for New Student Orientation (NSO) and other events at Gayle Greve Hunt School of Nursing (GGHSON).
Position Specific Qualifications:
Proficiency in general clerical duties, including written and mathematical process as may be reflected by the completion of high school or the equivalent. Strong customer service experience, friendly and outgoing personality, ability to engage dynamically with the general public. Multi-task oriented, ability to adapt to a fast-paced environment and handle a high volume of phone calls.
