Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants

Major/Essential Functions
  • Executes the processing of all registration for international insurance coverage for faculty and staff and maintains log. Maintains and submits all documentation of international insurance to the international insurance vendor
  • Provides general clerical assistance to for the Office of Diversity, Inclusion, and Global Health Submits Facilities and IT/AV work orders, manages catering, and reserves rooms for all events and meetings related to Global Health
  • Submits Facilities and IT/AV work orders, manages catering, and reserves rooms for all events and meetings related to Global Health
  • Assists as needed with departmental functions, student activities, and support staff activities
  • Maintains the GH portion of the calendar
  • Coordinates, arranges, and assists with meetings related to Global Health meetings and events, takes minutes, and logistics setup
  • Performs other duties as required or assigned by immediate supervisor
  • Serves as Initial point of contact for the office, answering incoming calls on multi-line telephone, communicating messages, providing answers to inquiries relevant to the departments as needed

Preferred Qualifications
  • Previous experience working with continuing education events
  • Previous experience with coordinating multiple activities and/or projects
  • Prior experience in data entry and development of marketing design
  • Experience in working with study abroad and/or international programs
  • Experience in healthcare or university setting
  • Familiarity with Adobe Acrobat Suite Photoshop, InDesign, Illustrator and other graphic design software applications

Occasional Duties
  • Coordinates the implementation of pre-departure orientations and exit counseling for students traveling abroad
  • Coordinates and assists with all scheduling of film screenings on behalf of the office of Diversity, Inclusion, and Global Health
  • Assists with the Continuing Medical Education component in the coordination of all Global Health related events to the departments' missions; duties include: procuring disclosure form, CV, biosketch, conflict of interest, and presentation from speakers
  • Coordinates, arranges, and assists with all travel associated with the Office of Diversity, Inclusion, and Global Health
  • Assists in identifying Global Health topics for regularly scheduled event
  • Assists in the creation and development of all office material (e.g. brochures, events, flyers, etc.) and introduction/speaker points for events
  • Assists in coordinating meetings and events related to the PLFSOM Women in Medicine and Science Organization
  • Assist in the submission of memoranda of understanding and/or affiliation agreements with international universities and programs
