Job Description

The School of Human Evolution and Social Change (SHESC) seeks a highly motivated and organized Department Human Resources Specialist to join our business services team. Reporting to the Department Human Resources Specialist, Sr., this position is intended to provide high volume support in human resources-related functions within a complex academic unit, including but not limited to the handling of payroll, position management, recruitment, and time reporting processes. This is a great opportunity for someone who enjoys being part of a team to support the day-to-day operations of bustling academic work environment.

This position requires knowledge of electronic data processing and applications as it applies to human resources. 

 

This position will routinely interact with other members of the SHESC staff, faculty, administrators at all ASU levels, and external parties, so excellent communication skills are critical. They will need to exhibit strong abilities to manage multiple tasks and priorities and have the ability to problem solve and work well in a fast-paced, deadline driven team environment. Knowledge of academic and university policies and procedures and the ability to identify and implement best practice is desirable.

 

Salary Range

$48,000 - $52,000; DOE. ASU offers a comprehensive benefits package with the State of Arizona.

Essential Duties

·       Support the School’s large volume human resource functions, including: processing personnel transaction requests, hiring on multiple funding sources, and processing position renewals; offer letter generation using Adobe Sign; and assist with preparing documentation for personnel transactions (such as FTE changes and supplemental pay) 

·       Support the year-round recruitment efforts of all hourly and stipend-paid student workers in BrassRing, which includes posting the position, communicating with hiring supervisor and committees, communicating with the applicants, assisting with screening/providing application materials, scheduling interviews, and making job offers 

·       Monitor and follow up on action items for monitoring the ACA Trending report and other human resources-related reports as needed 

·       Create and maintain electronic personnel records based on SHESC and ASU Office of Human Resources guidelines

·       Create and maintain spreadsheets used for payroll and hiring including tracking payroll budgets and student hours

·       Serve as Department Time Administrator (DTA) for professional staff and student workers, ensure timely and accurate entry/approvals in PeopleSoft and TAS systems 

·       Query data reports through various systems, including Amazon Workspace and Analytics dashboards, to verify accuracy of records as well as provide information used by leadership for decision making

·       Provide input and feedback on Human Resource processes, procedures, internal controls, and payroll process improvements

·       Monitor SHESC HR inbox to respond or forward to appropriate personnel in order to provide timely, high-level customer service

·       As a member of the SHESC business services team, participate in a variety of SHESC, college, and university-wide initiatives and meetings to represent unit interests and to ensure an integrative/collaborative support of college and university interests 

·       Perform other duties as assigned by the HR Specialist, Sr. and Associate Director, Operations to ensure continued efficient operations to fulfill customer service needs 

 

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND two (2) years of related experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

 

Desired Qualifications

·       Experience in academic operations in a higher education institution. 

·       Evidence of (2) years of experience in Human Resources. 

·       Experience and understanding of record keeping/retention and ensuring adherence with policies, practices, and regulations. 

·       Experience in working independently in a fast-paced, high-volume office environment with constant deadlines and changing priorities. 

·       Experience working with confidential information. 

·       Experience with PeopleSoft, BrassRing, Microsoft Office, Slack, Google Drive, Dropbox, Adobe, and Amazon Workspaces.

·       Experience in work that requires attention to detail and critical thinking skills. 

·       Experience and judgment to plan and accomplish goals, including willingness to think creatively. 

·       Experience in developing and maintaining cooperative working relationships with others. 

·       Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills.

 

Working Environment

This position requires: 

·       A Monday-Friday work schedule.

·       Dealing with quickly changing priorities, which may include and/or are subject to resolution of conflicts. 

·       Performing activities in an environmentally controlled office setting.

·       Using office equipment (i.e. printers, copiers, fax machine, telephones, calculator). 

·       Frequently bending, reaching, lifting, pushing, pulling, and transporting up to 25 pounds. 

·       Standing for varying lengths of time and walking moderate distances to perform work.
