Essential Duties and Responsabilities
- Client Interaction: Greet clients and visitors in a professional, friendly manner, providing exceptional customer service both in person and over the phone.
- Appointment Management: Schedule and confirm appointments for clients, ensuring that the tax professionals' calendars are organized and up-to-date.
- Answering Phones: Handle inbound calls, take messages, and direct calls to the appropriate staff members in a timely manner.
- Administrative Support: Assist with general office tasks including filing, data entry, and handling mail.
- Client Intake: Collect necessary documentation from clients for tax preparation services and ensure all necessary forms are properly completed.
- Billing & Payments: Process client payments and provide receipts, ensuring accurate records are maintained.
- Office Organization: Keep the front office area clean, organized, and stocked with necessary supplies.
- Confidentiality: Maintain confidentiality of client information and follow firm protocols regarding privacy and data security.
Knowledge, Skills, and Abilities
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Basic knowledge of office equipment (e.g., phone systems, fax machines, printers).
- Ability to maintain a professional demeanor and handle sensitive information with discretion.
- Friendly, approachable, dependable, and detail-oriented.
- High school diploma or equivalent required; associate degree or higher preferred.
- Previous experience in a receptionist or customer service role, preferably within a professional or office setting. Experience in a tax or accounting firm is a plus.
- Bilingual (English/Spanish) required.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
