POSITION SUMMARY:

The Distribution Manager supervises and coordinates the activities of the hospital storeroom. The position is primarily responsible for the daily oversight of all supplies and materials purchased by and stored in the various inventory locations in the hospital. This includes spend and value analysis, contract compliance, & alternate product sourcing. The position serves as a resource for the Storeroom & OR Equipment Coordinator, and assists the Director of Materials Management with various department operational responsibilities. The position also assists with maintaining the hospitals electronic inventory management platform for data integrity.

KEY RESPONSIBILITIES:

  • Responsible for the daily activities of the Storeroom and Receiving to ensure uninterrupted rotation and flow of supplies and materials necessary for hospital operations.
  • Maintains item data, inventory data, and department ordering templates in hospital electronic inventory management system.
  • Assists department leaders in evaluating local storerooms to assure proper product portfolio and par levels.
  • Assists OR Equipment Coordinator with OR inventory management and analysis.
  • Monitors and approves daily requisitions and open purchase orders.
  • Processes and follows up on special requisitions and orders.
  • Researches order status and helps obtain delivery information.
  • Fosters a positive working relationship with corporate Supply Chain and local Steward Supply Chain departments.
  • Under the direction of the Director, assures Warehouse personnel are operating safely and efficiently. Uses and promotes proper technique while handling supplies and equipment.
  • Under the direction of the Director, assures Warehouse personnel properly receives, stores, and delivers supplies throughout the hospital.
  • Provides both new employee and ongoing training to Warehouse personnel to assure best practices are followed.
  • Monitors stock levels in the Warehouse assuring par levels are maintained and that expired product is properly monitored.
  • Identifies and proposes alternate products during times of backorder & reduced product availability.
  • Identifies and proposes opportunities to standardize product, improve economy of scale, and contain cost.
  • Assists hospital personnel with identifying potential contracted products for purchase.
  • Uses market research, analysis, and foresight to adjust stock levels appropriately.
  • Becomes subject matter expert on system GPO contract list and competitive analysis platforms.
  • Under the direction of the Director, monitors and addresses vendor performance & compliance issues.
  • Improves inventory accuracy by overseeing routine cycle counting, assisting with annual inventory, and actively re-allocating unused products to sister facilities or third parties.
  • Assists Receiving, Risk Management, and Director with processing returns and recalls.
  • Cross-trained to all Storeroom and Equipment functions to assist as back-up during times of heavy volume or staffing shortages.
  • Represents Materials Management at meetings as needed.
  • Assumes supervisory role in Materials Management Department when the Director is unavailable.

EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:

  1. Education: Diploma or GED.
  • II. Experience (Type & Length): minimum 5 years experience in inventory management. Hospital experience preferred
