  • JOB DESCRIPTION

    Job Title: District Receptionist/Office Assistant
    Employment: Twelve Months
    Reports to: Superintendent/Designee
    Supervises: No Supervisory Responsibilities
    General Summary
    The District Office Receptionist/Office Assistant operates the district telephone system and assists with a variety of responsibilities. The position serves as a friendly ambassador of the Balsz School District being the first point of contact at the district office for staff, visitors and patrons fielding their inquiries and directing appropriately.

    Desired Education and Experience:
    • High school diploma or equivalent, additional training and coursework a plus
    • Previous experience in school settings preferred
    • Proven experience as front desk representative, agent or relevant position
    • Bilingual in English/Spanish (reading/writing/speaking) preferred
    Required Qualifications and Skills:
    • Ability to communicate with others in a clear and precise manner
    • Ability to work cooperatively, tactfully with staff and public and in a positive manner, even in times of stress
    • Ability to maintain confidentiality of records, correspondence and conferences
    • Proficient in the use of MS Office product including Outlook, Word, PowerPoint, and Excel
    • Comfortable multi-tasking and prioritizing tasks without guidance
    • Customer service focused
    • Command of business English and able to write letters using correct grammar, spelling, and punctuation
    • Punctual with strong attendance history
    Essential Functions:
    • Answer telephone, personally responding to those that can be resolved at the front desk, and directing others to appropriate staff members
    • Greet visitors and staff members in a warm and friendly manner and respond to inquiries directly or by referral to appropriate staff members
    • Receive deliveries; sorts and distribute incoming mail; prepares and stamps outgoing mail
    • Maintain reception area and all common areas in a welcoming, safe and tidy manner at all times
    • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
    • Maintain employee and department directories
    • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
    • Participate in informational activities (e.g. staff development, departmental briefings, etc.)
    • Obtain, gather and organize pertinent data as needed for the purpose of composing correspondence, reports, statistical data, records and other materials
    • Update calendars and schedule meetings
    • Provide clerical support to the Superintendent and Executive Assistant to the Superintendent
    • Assist other personnel as may be required for the purpose of supporting them in the completion of their duties
    • Maintain a high level of ethical behavior and confidentiality when dealing with staff information
    • Other duties as assigned
