This is a department promotion of the Community Development Department only.
JOB SUMMARY
Provide document scanning, processing, and support services to Pinal County staff and resolve questions within the scope of authority and training, and assist departments in their day-to-day tasks by providing them with the ability to digitize and access their documents through an Electronic Document Management System (EDMS). Lead other document processing staff in document management and act as the primary coordinator for departments to ensure documents are properly stored and maintained. Work is performed under general supervision.

TYPICAL CLASSIFICATION ESSENTIAL DUTIES:
- Lead document processing staff by assigning, reviewing and providing training to technicians.
- Assist departments in managing and processing documents.
- Monitor records for records retention compliance mandated by state statute.
- Evaluate workflows and processes and recommend operational improvements to the supervisor.
- Perform document scanning, processing, and support services for Pinal County Staff.
- Prep documents, scan document image and convert to a digital format, and index documents for quality control.
- Manipulate images as needed, including resizing, compressing, cropping, and large format documents and save documents to portable/removable digital media.
- Perform quality checks for scanned documents, maintain work logs, and deliver documents and digital media.
- Assist in managing large scale and/or complex document management system requests.
- Provide training services for users new to OnBase.
- Create and maintain training guides for county-wide usage in web-based and scanning systems.
- Work closely with administrators when testing new versions of OnBase for possible upgrades, work with vendors to find solutions to issues that arise in the department, and serve as reference point for departments when dealing with scanning services.
- Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
- Perform other related duties as required.
MINIMUM REQUIREMENTS TO PERFORM WORK:
- High school diploma or GED equivalent.
- Three (3) years of customer service and computer experience.
- Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
- Valid Arizona State Drivers License.
Knowledge, Skills and Abilities:
- Knowledge of imaging production equipment, techniques, and quality standards.
- Knowledge of basic record keeping practices and customer service standards and protocols.
- Knowledge of state statutes for records retention.
- Skill in operating and maintaining a variety of imaging and media equipment safely and competently.
- Skill in operating computer systems and basic software applications.
- Skill in leading others in tasks.
- Skill in project management.
- Ability to evaluate work product for effectiveness.
- Ability to provide effective customer service and deal tactfully and courteously with the public.
- Ability to communicate effectively both verbally and in writing.
The work requires exerting and/or lifting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The work also requires the ability to finger, grasp, handle, reach, perform repetitive motion, speak, hear, stand, stoop, and demonstrate visual and mental acuity.

Work is performed in an office environment.
