DEFINITION

Under general direction, and in partnership with MAACs Director of Philanthropy, helps plan, organize, and manage MAACs grant writing program, annual fund, and stewardship & gift management activities. He/she holds a strong technical grant writing background to support MAAC's fundraising strategies, preferably with social services experience.

DISTINGUISHING CHARACTERISTICS

This single position is responsible for assisting the fund development and executive leadership teams in developing, managing, and integrating fund development strategies for MAAC. The individual will have significant involvement in assisting the organization to foster a culture of philanthropy, enhance its relationship with key stakeholders and promote the extension of its services in the community. Responsibilities require a broad knowledge of fund development and core functions of a comprehensive development program. He/She is also encouraged to exercise creativity, initiative, and seasoned judgment to effectively build awareness and develop long-term collaborations and partnerships for community and client service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

50% Grants Program

  • Shared responsibility for all phases of proposal development, identification, writing, editing and production, working in close collaboration with relevant staff.
  • Manage Foundation, Government, and Corporate Grants pipeline and portfolio with a deadline-driven and partnership-centric approach.
  • Lead awarded grant report research, drafting, editing, production, and timeline management, including consultation with Program Leads concerning relevant program outcomes and financial reporting.
  • Support management of prospective and current funder relationships, ensuring all funder relationships/grant officers are informed about our work on an ongoing basis and feel connected to our organization (includes coordination of meetings, site-visits, email updates and calls beyond standard reporting).
  • Work with program team to develop solid understanding of and stay up to date on program initiatives and activities in order to best plan for grant proposals and funder updates; includes collaboration with the Marketing & Communications staff to develop a standard language for articulating the organizations mission, vision, and programs.

35% Annual Fund

  • Help grow the organizational giving portfolio; strategically focused on acquisition, engagement, and retention.
  • Assist with creation and implementation of a comprehensive, multi-channel annual fund initiative; direct and administer all aspects of annual fund giving to include direct mail, e-philanthropy efforts, and first-time donor efforts; attentive to trends, changes, and innovations in the areas of email marketing, tele-marketing, crowdfunding, giving day activities, digital space, and other evolving annual giving strategies.
  • Monitor the monthly progress of annual appeal results compared to previous efforts.
  • Work with the Marketing & Communications team to develop and enhance promotion and recognition tools aimed at donors (website, print pieces, email content, story/pic/video library, frames).
  • Attend networking events to increase MAACs presence alongside philanthropic opportunities, enhance professional development, and refine relationship management skills.

15% Stewardship & Gift Management

  • Manage receipt, processing, acknowledgement and fulfillments of gifts, grants, and pledges; maintain electronic and hard copy files on grants and donors and work with fund development and Finance teams to ensure consistency between the donor database and accounting system.
  • Help maintain detailed records of all donor contact, history and moves; ensure timely and personal appreciation and recognition is completed.
  • Perform regular database maintenance to ensure database integrity; and help track and report on data for fundraising and grant activity.
  • Support the planning and management of fundraising events, including managing logistics, RSVPs, invitations, and pre/post-event follow up; and help implement strategies to convert event donors to organization donors.
  • Assist with donor cultivations events, when needed

OTHER DUTIES

  • Performs related duties as assigned.
  • Prepares or reviews a variety of development reports and related collateral.
  • Attends and participates in meetings, conferences, and training sessions; provides expertise, information and assistance to management, staff, board members, volunteers, outside groups and individuals.

QUALIFICATIONS AND SKILLS

Knowledge of:

  • Technical grant writing, preferably with social services experience.
  • The Donor Bill of Rights created by the Association of Fundraising Professionals (AFP), the Association for Healthcare Philanthropy (AHP), the Council for Advancement and Support of Education (CASE), and the Giving Institute.
  • Principles, practices, concepts, and techniques used in fund development, donor stewardship and database management strategies, including research methods and analysis techniques.
  • Best practices, methods, and techniques in large-scale event planning.
  • Basic web technologies, terminology, and applications relevant to assigned responsibilities.
  • Principles and practices of management, including purchasing and contracting and the maintenance of records.
  • Federal, state, and local laws, regulations, and court decisions applicable to assigned areas of responsibility.
  • Non-profit human resources policies and procedures and labor contract provisions.

Ability to:

  • Assist, plan, organize, direct, and integrate the activities of comprehensive fund development program to meet MAAC goals and objectives.
  • Demonstrate a proven successful track record of managing a grant-writing program.
  • Write and present proposals and/or convey messages clearly, logically, and persuasively.
  • Help prepare clear, concise, and comprehensive correspondence, reports, studies, and other written materials.
  • Exercise sound, expert independent judgment within general policy guidelines.
  • Exercise tact and diplomacy in dealing with sensitive and complex issues and situations.
  • Establish and maintain effective working relationships with MAAC management, staff, community and business leaders, local elected officials, representatives of community, professional and business organizations and funding agencies, donors, volunteers, the media, the public and others encountered in the course of work.

EDUCATION/EXPERIENCE/CERTIFICATION

  • Bachelors degree in marketing, public relations, communications, business administration, or similar field.
  • At least three years of progressively responsible experience in fund development or management capacity.
  • Minimum of three years experience in grant writing.

HEALTH STATUS

Must have a physical examination, TB clearance and a drug screen by a doctor/clinic designated by MAAC as well as immunization records for influenza*, pertussis and measles as required by state and federal regulations prior to the first day of employment.

BACKGROUND CLEARANCE

All positions are subject to a background/education check, DMV check, NSOR, exclusion and debarment checks prior to hire and periodically throughout employment as required by various funding sources.

Note: California Start law requires background criminal checks on anyone who works in a licensed childcare facility who is not a client. Must have or obtain a current criminal background check clearance, signed criminal record statement, and signed Acknowledgement to Report Child Abuse form prior to the first day of employment.

TRANSPORTATION

Must have and maintain a valid California Drivers License, daily use of a personal, insured vehicle, and have and maintain a motor vehicle driving record acceptable to MAACs insurance carrier. Incumbents will be enrolled in the California DMV Pull Program.
