The Company:
The Travis County Medical Society (TCMS ) is a professional membership association of physicians who live or work in Travis County. An organization of over 4500 physicians. TCMS provides social and Continuing Medical Education opportunities among other things for our local Physicians.
The Job:
As TCMS events and Program Coordinator, you are extremely organized, and you'll be attending and managing event details to include, marketing, scheduling, logistics, catering, guest services, and vendor management, as well as provide administrative support to the Travis County Medical Society educational programs and projects.
Responsibilities
- Coordinate and attend TCMS social event details to include, marketing, scheduling, logistics, catering, guest services, and vendor management.
- Manage on-site event operations, ensuring smooth execution of set up and break down activities and promptly addressing issues that arise.
- Manage TCMS educational events and details (CME, communications, tracking).
- Staff events and meetings as assigned.
- Manage the Friends of the Society program.
- Design and produce membership mailings and event communications for leadership review, collaboration, and approval.
- Serve as backup point of contact for physicians, their office staff, and the public that call the TCMS offices.
- Provide general administrative support for TCMS operations. Maintain TCMS Website
- Design and produce social media content for leadership review, collaboration, and approval.
- Meet and exceed customer expectations and adhere to established quality practices while seeking to continually improve performance.

- Perform other duties and/or special projects as assigned.
Knowledge, Experience, and Skills:
- High school diploma or equivalent required.
- Minimum of 2-4 years in a high-level administrative position. Prefer some college. College degree may substitute for experience.
- Demonstrated proficiency in personal computer office applications, such as word processing, databases, spreadsheets, and presentation software.
- Strong interpersonal and customer service skills are required.
- Excellent organizational skills, high level of attention to detail.
- Ability to work independently with little supervision.
- Excellent communication skills both verbal and written are required.
- Ability to maintain confidentiality and appropriately handle sensitive information.
- Experience marketing events through various channels a plus.
Mental/Physical Abilities:
Ability to assimilate information and draw reasonable conclusions.
- Ability to sit, stand, reach up and stoop as needed to complete event activities for extended periods of time.
- Ability to work at a computer for extended periods
- Ability to work overtime as needed, which may include early mornings, evenings, and weekend functions.
- Ability to handle and prioritize multiple tasks
Must be at least 21 years old, have a valid Texas driver’s license, acceptable driving record and proof of liability insurance to be covered driver.
