Position Description:

The executive assistant provides high-level administrative support to the Chief Operating Officer of TriumphPay. The EA will conduct research, prepare statistical reports, handle information requests and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings and travel for the leadership team.

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Supports the COO by preparing and coordinating communication and managing complex calendars.

  • Prepare documents such as reports, letters, presentations, etc., including researching and conducting data inquiries.

  • Act as a liaison between executives and team.

  • Answer phone calls and direct calls to appropriate parties or take messages.

  • Record, type and distribute meeting minutes.

  • Conduct research in areas of interest at the direction of the executives and provide a synopsis to the President to review.

  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.

  • File and retrieve corporate documents, records and reports.

  • Open, sort and distribute incoming correspondence, including faxes and email.

  • Other duties as assigned.

Qualifications:

  • Bachelors Degree or Associates Degree and minimum of five (5) years of related work experience is required.

  • Three (5) to five (7) years of executive administrative experience required.

  • Advanced skills in Microsoft Office Products: Excel, Word, Outlook, and PowerPoint.

  • Able to work independently with minimal supervision and as part of a team.

  • Excellent written and verbal communication skills; professional presentation.
