Job Description Summary

As an Executive Assistant, Corporate working for Taylor Morrison, you will report to and assist the Director, Office of the CEO, while also assisting and supporting the office of the C-level Executive Leaders in the corporate office. This position coordinates various corporate and executive level activities and must professionally and carefully handle confidential information relating to the Board of Directors, CEO, CFO and C-level Executives, as well as work with the Director in ensuring day-to-day corporate office operations are efficient and effective. In addition, this position must provide excellent customer service, "love the customer" behaviors, demonstrate initiative, take ownership of responsibilities, and complete projects with positive results.

The Executive Assistant will handle a wide range of administrative and executive support related tasks and will be able to work independently with little supervision. This position directly reports to the Director, Office of the CEO. The Executive Assistant must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting busy executives, complicated travel schedules, meetings and interacting with other senior leaders in a very fast paced environment. The Executive Assistant, as part of the operations team, will work closely with the Office Ambassador/ Manager in supporting office related duties, assisting with executive meals, meetings and functions. A strong work ethic and a keen understanding of maintaining confidentiality is required due to the constant interaction with top level management.

We trust that as an Executive Assistant, Corporate you will: (responsibilities)

  • Complete a broad variety of administrative tasks that facilitates the C-level executives ability to lead the organization or their department, including assisting with special projects; designing and producing complex documents, reports and presentations; collecting and preparing information for meetings, as well as taking meeting notes, composing correspondence, maintaining contact lists, making travel arrangements, and completing monthly expense reports.

  • MUST be highly proficient with Microsoft Office applications including Word, Excel, and PowerPoint; possess strong verbal and written communication skills, as well as demonstrate exceptional organization skills, particularly in filing and records/document management, and demonstrate impeccable attention to detail.

  • Coordinate and manage the C-level executives calendars and complex schedules, including scheduling conference calls, exercising professional judgment and tact while troubleshooting conflicts and making recommendations to ensure smooth day-to-day engagements.

  • Represent the C-level executives professionally and build relationships internally and externally that exemplifies our Love the Customer brand and contributes to the success of the organization.

  • Competently and professionally handle information that is sensitive, complex, and confidential in nature.

  • Assist the Director, with CEO, CFO and Board of Directors tasks relating to Board of Director meetings, and other confidential business meetings.

  • Planning and coordination for C-level conference meetings including but not limited to ordering and picking up meals, room setup, and providing hands-on assistance.

  • Assist the Office Manager/Ambassador in office related functions including office organization, ordering and managing office and kitchen supplies, as well as replenishing supplies as needed.

  • Assist the Office Manager/Ambassador in daily front desk/reception responsibilities regarding visitors, employee needs, as well as corporate mail distribution and managing corporate shipments.

  • Prepare, code, and submit invoices to be paid to vendors in a timely and appropriate manner.

  • Remain knowledgeable of corporate policies, systems, organizational history, goals, philosophies, and mission

  • Be willing to perform other duties as assigned.

About you:

  • Bachelors degree preferred

  • Strong written and verbal communication skills

  • Demonstrated ability to build relationship and maintain confidentiality

  • 3+ years previous experience supporting C-Suite/executive level (a public company preferred but not required)

  • Previous experience with a Public Company a plus

  • Experience in homebuilding industry, or related industry a plus

  • Thorough understanding of accepted business practices

  • Microsoft office applications proficiency with Word, Excel, PowerPoint and Outlook

FLSA Status: Exempt

Will have responsibilities such as:

  • Office or non-manual work, which is directly related to management or general business operations

  • Act as a primary component of which involves the exercise of independent judgment and discretion about matters of significance

  • Ability to operate a motor vehicle if applicable.

  • Comply with company policies and procedure.

Physical Demands:

  • Must be able to able to remain in a stationary position up to 50% of the time

  • The ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
