The Executive Assistant is responsible for performing diversified and confidential secretarial and administrative functions for Steward Health Care System leadership and team, as well as acting as office manager. This position works with highly confidential materials on a routine basis.
KEY RESPONSIBILITIES:
  • Works closely with the STEWARD HEALTH CARE leadership in accomplishing the goals and objectives of STEWARD HEALTH CARE.
  • Manages the office of the STEWARD HEALTH CARE leadership and team.
  • In collaboration with STEWARD HEALTH CARE leadership, manages and prioritizes calendar(s), schedule(s), coordinates meetings, and communicates closely with required individuals.
  • Prepares and assembles materials for high-level leadership meetings.
  • Maintains departmental files and ensures confidentiality of those files.
  • Functions as on-site office manager: maintains relationships with external vendors, orders equipment and supplies, and troubleshoots and triages facility issues as they arise.
  • Collects information, including financial data, and prepares reports and presentations for STEWARD HEALTH CARE leadership.
  • Handles all day to day activities including payroll/timekeeping, marketing, newsletters, network access, and attending high level meetings to take minutes when requested.

  • Possesses a high level of maturity and tact.
  • Excellent customer service and ability to work in a fast-paced, dynamic environment.
  • Experience working with diverse populations.
  • Understanding of the health care delivery system.

EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:

  1. Education: Bachelors degree strongly preferred.
  2. Experience (Type & Length): Three to five years of experience working in an Executive Administrative environment, supporting multiple individuals required.
  3. Hardware/Software: MS Office Suite (Excel, Word, Outlook, PowerPoint are essential).
