Job Description

EdPlus at ASU seeks a highly-motivated and articulate Executive Assistant. Reporting to the Director of Dean and CEO Administration, the position provides a wide range of support, coordination, and liaison functions to members of the EdPlus leadership team. Coordinates multiple tasks simultaneously and performs complex administrative duties of a responsible, sensitive, and confidential nature in an incredibly fast-paced environment within the EdPlus Dean’s Office.

Salary Range

Essential Duties

·       Manages EdPlus executive calendars and high-priority activities to maximize efficiency, coordination, and follow through.

·       Coordinates executives involvement in University events to ensure effective interaction with University staff, senior executives, leadership teams, and their constituents both internal and external to Arizona State University.

·       Provides administrative support to executives; coordinates and arranges travel (domestic and international) including transportation, accommodations, and travel reimbursements; compiles, prepares, and maintains background material related to meetings, events, and travel; coordinates and tracks follow-up; maintains files.

·       Serves as additional back-up support to the Director of Dean and CEO Administration, and other Dean’s Office administration staff, as needed. Duties to include, but not limited to, making adjustments to the Dean’s calendar, assisting with domestic and international travel, providing the Dean with materials required for meetings and supporting other members of EdPlus leadership, as needed.

·       Provides administrative support to various units within EdPlus including purchasing, expense tracking, and assistance with travel and meetings.

·       Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.

·       Represents EdPlus within the university and with external communities, promoting positive working relationships.

·       Coordinates or assists with coordinating events, including arranging equipment, catering, sending invitations, and managing RSVPs.

·       Assumes or coordinates other duties or projects as assigned or directed.

 

Minimum Qualifications

Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

 

Desired Qualifications

·       Evidence of a bachelor's degree or higher in a related field.

·       Experience supporting high-level executives.

·       Experience working in a higher education environment.

·       Evidence of knowledge of administrative principles and practices.

·       Experience in handling confidential, proprietary, and privileged documents and information.

·       Evidence of knowledge of ASU policies and procedures.

·       Demonstrated skill in planning, analyzing and coordinating activities and establishing priorities.

·       Evidence of advanced skill in clear and effective communication, both verbal and written.

·       Evidence of skill in tact and diplomacy and in maintaining effective working relationships.

·       Demonstrated skill in problem solving and decision making; evidence of organizational skills and flexibility; experience in proactively anticipating requirements and potential problems.

·       Demonstrated ability to manage multiple high-priority activities requiring considerable coordination and follow through to meet requirements.

 

Working Environment

EdPlus at ASU is located at SkySong, the ASU Scottsdale Innovation Center. The center houses a diverse business community that links technology, research, education, and entrepreneurship to position ASU and Greater Phoenix as global leaders in the knowledge economy.

 

Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting or standing. Daily use of desktop or laptop computer is required. Ability to clearly communicate verbally in English, read, write, see, and hear to perform essential duties. Regular review of completed tasks.
