Primary Purpose:

Ensure the efficient operation of the Special Education Department and provide administrative support to the Chief Student Support Officer and Director of Special Education. Organize and manage the work activities of an administrative department office. Handle confidential information and frequent contact with all levels of district employees, parents and outside agencies.

Education/Certification:

Minimum 2 years college

Experience:

At least three years of administrative assistant experience
Experience working in a public school setting preferred
Knowledge of special education processes helpful

Special Knowledge and Skills:

Excellent writing and oral communication, organizational and interpersonal skills
Ability to make independent decisions regarding planning, organizing and scheduling
Knowledge of accounting policies, practices and systems including Federal grants
Experience with Skyward (preferred)
Proficient skills in technology usage to include creating spreadsheets, presentations, data bases and other document

Major Responsibilities and Duties:

Records, Reports and Correspondence:

Assist with the preparation of correspondence, forms, manuals and reports for the Chief Student Support Office and Director of Special Education and other department staff members
Maintain special education bookkeeping, permanent files and records
Assist with scheduling and preparation of meetings, staff development and parent training
Compile pertinent data as needed when preparing various federal, state and local reports as required by the special education department
Compile data for annual and/or quarterly PEIMS reporting
Maintain special education inventory and materials checkout
Assist the director of special education to create, maintain, communicate and copy records and documents utilized in litigation
Assist the director of special education in administration of Special Education Manager software program including communication with vendor for needed technical assistance and maintaining staff access files.
Assist the director of special education in arrangements for staff development including arranging venue, producing training materials, refreshments, presenter contracts and travel arrangements.
Assist in the developing contracts for outside service providers
Work in conjunction with the purchasing department on service procurement procedures following EDGAR regulations

Accounting:


Perform routine bookkeeping tasks, including tracking all local and federal budget expenditures
Assist with the preparation of the special education budget
Prepare local budget change requests (amendments) as needed
Assist in the management and oversite of federal and state grant programs in collaboration with the business office

Other:

Answer and respond to incoming calls, take reliable messages and route to appropriate staff
Receive, sort and distribute mail and other documents to department staff
Maintain confidentiality of information.
Assist the director of special education in compliance with funding and document deadlines as well as facilitating crucial service contracts and orders to meet student needs.
Other duties as assigned.

Environment: May work prolonged or irregular hours; occasional districtwide travel
