    EXECUTIVE ASSISTANT TO THE SUPERINTENDENT AND GOVERNING BOARD

    DEFINITION: Under general supervision provides administrative support and assistance to the Superintendent and for the Governing Board.

    ESSENTIAL FUNCTIONS:

    TASKS:
    Responsible for maintaining a sensitive, high level of confidential administrative support to the Superintendent and Governing Board; facilitates procedural change with the Board and Superintendent office by streamlining processes and procedures; maintains records, state laws, and Attorney General Opinions; attends Governing Board meetings and other meetings as required, accountable for Board meetings, preparation, attendance and follow up; posts the meeting schedule for the Governing Board regarding all meetings, both public and executive; post and distribute Board meeting agendas and notices, records and transcribes minutes for meetings; prepares agendas and materials for administrative meetings; in a sensitive manner, collaborates with and responds to the Governing Board, District administrators, community members, business groups, District staff and the public; completes district administration correspondence, reports and related materials in appropriate form; processes requests for use of facilities; sorts and distributes incoming and outgoing correspondence; manages office operations and flow of traffic; serves as first point of contact for incoming calls and walk-ins from staff, parents, and general public; schedules and coordinates appointments and meetings; maintains a running calendar; makes travel arrangements and accommodation reservations for out-of-town conferences or meetings; researches and compiles requests from the public and staff and routes to appropriate office; attends District Leadership Team Executive meeting and records minutes; schedules and prepares necessary documents for individual evaluations conducted by the Superintendent; resolves issues and concerns from parents, provides assistance and follows up to ensure issues are resolved; performs other duties as assigned.

    KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:
    Knowledge of District and Department policies and procedures.
    Knowledge of Arizona State Open Meeting Laws.
    Knowledge of procurement regulations.
    Knowledge of daily office operations
    Knowledge of Microsoft Office Suite, Google and database software programs.
    Skill in the use of a personal computer
    Skill in creating and maintaining a calendar of events and appointments
    Skill in organizing schedules and meetings and preparing correspondence and reports
    Skill in communicating with the public effectively
    Skill in following oral and written instructions
    Skill in establishing and maintaining effective working relationships.

    PHYSICAL REQUIREMENTS: Work is performed in an indoor environment. Work requires frequent sitting, standing, bending, repetitive motion, vision to monitor and may require some lifting.

    MINIMUM QUALIFICATIONS:
    High school diploma or general education degree (GED)
    Three to five years of related executive experience in a school district, municipality or a major corporation
    Three to five years of supervisory experience
    Proficient in the use of Novus Solutions agenda system, any other platform utilized to post a public agenda or the ability to become quickly proficient
    An equivalent combination of training and education may substitute for some experience

    PREFERRED QUALIFICATIONS:
    Bilingual English and Spanish
    Experience with Roberts Rules of Order
    Experience with Open Meeting Law
    Excellent customer service skills with proven experience working with stakeholders in a school district, municipality or major corporation

    Depending on the needs of the District, some incumbents in this class must be able to demonstrate fluency in both Spanish and English as a condition of employment.

    Salary Grade: 22 Hourly Pay: $21.86 Hours per Day: 8 Days in Contract: 260 Start Date: 2021/2022 School Year
