Job Description

QUALIFICATIONS:

Ability to solve complex organizational, customer service, and community relations tasks. Excellent grammar, language, writing, and computer skills. Three (3) years of advanced office experience such as Executive Secretary or Office Manager preferred. College degree (Associates or higher) preferred. Experience working in schools preferred. Bilingual (Spanish) required.

REPORTS TO:

Superintendent

JOB GOAL:

To provide advanced, complex, and highly responsible support to the Superintendent, Communications Coordinator, and the Governing Board.

PERFORMANCE RESPONSIBILITES:

  1. Complete projects assigned by the Superintendent.
  2. Provide customer service and project a positive district image to all stakeholders in all venues.
  3. Provide oversight in assisting parents to solve problems and plan for success.
  4. Maintain the Superintendent and Governing Board calendars, arrange appointments, and prioritize and route incoming information.
  5. Compose and/or edit correspondence, memorandums, reports, publications, and other non-confidential and confidential documents.
  6. Ensure timelines related to the Superintendent and Governing Board are met.
  7. Obtain, organize, and summarize pertinent data as needed for reports.
  8. Lead school office teams in trainings related to customer service and district practices
  9. Monitor operational procedures to assess compliance with federal, state, and county laws, regulations, Board policies and rules, and administrative directives.
  10. Maintain Governing Board policies.
  11. Provide support for District and community events.
  12. Provide translation services and take meeting minutes as needed.
  13. Serve as Governing Board Secretary, including developing meeting agendas, public notices, and packets containing all supporting information for meetings as required by law.
  14. Make conference and travel arrangements for the Superintendent and the Governing Board.
  15. Serve as a notary public for the Superintendent and Governing Board.
  16. Perform other job-related duties as assigned.

  1. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  2. Ability to deal with problems.

TECHNOLOGY SKILLS:

  1. To perform this job successfully, an individual should have knowledge of Internet software, preferred accounting used software and Microsoft office (Word, Excel, Publisher, PowerPoint, and other appropriate technology software).
  2. The ability to type 40 wpm.
  3. Knowledge of appropriate business machines and telephones.
  4. Monitor special system(s), not limited to, including security and fire alarm systems.

TERMS OF EMPLOYMENT:

  1. Twelve-month, employee pay and benefits in accordance with Board policy.
  2. FSLA: Exempt
  3. Full Time Employee Benefits in accordance with Board policy.

EVALUATION: Performance to be evaluated in accordance with the Board policy on evaluation of support personnel.
