Responsibilities

Under general direction, this entry to med level position will perform a variety of administrative, maintenance, purchasing, special projects and assignments in a timely and accurate manner. Coordinate office operations, recordkeeping, file maintenance and reconciliation of receipts.

  • Coordinate facility and office operations; maintain records and files
  • Review purchase order requests
  • Process work orders, code and assign to appropriate staff
  • Order and maintain inventory supplies
  • Reconcile monthly receipts and report discrepancies to Manager
  • Execute punch lists as directed by Manager for repairs, painting, etc.
  • Perform facility maintenance as directed
  • Maintain facility/preventive maintenance calendar
  • Order/coordinate distribution of office and other supplies
  • Coordinate organization-wide copy center requests
  • Monitor/record copier readings and coordinate toner ordering/distribution for all sites
  • May provide courier service including pickup of daily cash receipts and delivery of deposits to bank and delivery of mail throughout the clinic locations, as needed
  • Enhance professional growth and development through participation in educational programs, current literature review, in-service meetings and workshops
  • Support the vision, mission and goals, and demonstrate a commitment to the values, of the organization
  • Perform other duties as directed
Qualifications

Minimum

  • High school graduate or equivalent
  • Minimum two years administrative experience
  • Valid California drivers license, current vehicle insurance and reliable transportation
Preferred Qualifications
  • Associates degree or equivalent education
  • Facility maintenance/construction strongly preferred

  • Familiarity with general purchasing procedures

Required Skills/Knowledge/Abilities

  • Willingness and ability to work evening and weekend hours as needed
  • Proficiency with computers, Microsoft Office products (Word/Excel), business e-mail, communication systems and internet search capabilities
  • Ability to read and understand blueprints
  • Familiar with basic concepts of building maintenance and repair including, but not limited to, painting, drywall, carpentry and basic plumbing and electrical systems
  • Basic knowledge of use and safety needs, and experience with various hand and power tools
  • Strong organizational skills
  • Ability to read and write, analyze, prioritize and meet deadlines
  • Strong interpersonal, verbal and written skills necessary for communication with patients/clients, providers and other staff
  • Ability to interface with all levels of personnel in a professional manner; ability to work with people of all social and ethnic backgrounds and within the constraints of government funded programs
  • Familiar with operation of telephone, fax and copier equipment

Physical Requirements

  • Sufficient physical agility to perform routine maintenance work which may include climbing ladders, crawling under desks and other furniture and using normal tools such as a hammer or screwdriver
  • Ability to sit or stand for long periods of time; ability to reach, bend, climb, stoop and lift and carry up to 75 lbs of medical/office supplies for routine performance of essential job functions
  • Manual dexterity and strength sufficient to enter information via computer keyboard for long periods of time, to write notes and information as needed, to pick up and hold paperwork, supplies and other items, and effectively use appropriate tools
  • Speaking and hearing ability sufficient to handle phone and in-person conversations with patients/clients, providers and other staff
  • Visual acuity and reading ability sufficient to effectively read records and documents, and to accurately view information on a computer monitor
  • Eye/hand coordination, hearing and visual acuity necessary for driving safely
  • Ability to travel by plane, train and automobile to attend trainings or other business meetings
