Human Resources/Payroll Assistant

Salary: $19.18 Hourly

Summary:

HUMAN RESOURCES/PAYROLL ASSISTANT: Under the supervision of the Vice President of Human Resources, will perform routine, technical and non-technical clerical work that is performed in accordance with prescribed and established procedures.

MINIMUM QUALIFICATIONS:

AA degree in business administration plus five (5) years experience in business; or any combination of education and experience equal to eight (8) years. Must have strong computer skills and good public relations. Must be able to operate multi-telephone lines. Must be able to operate all modern office machines including 10-key adding machines and desk calculators.

Ability to deal effectively with public agencies and governmental officials in order to access services as needed.

Must be able to follow and carry out written and oral instructions quickly and accurately.

Ability to establish an effective working relationships with staff and especially in dealings with the public.

Speed accuracy and cooperative relations with coworkers and the public is also required.

JOB CHARACTERISTICS/PHYSICAL DEMANDS:

This is a professional position, which requires organizational, and communication skills, as well as judgment, tact and diplomacy in contacts with YDI employees, community residents, parents and local government agencies. Strict adherence is required to all regulations concerning confidentiality.

Good general health. Background investigation to include fingerprinting will be required. Physical and TB Skin test is required upon hire, and may be required intermittently

Frequent travel is provided by employee and proof of satisfactory car insurance is required.

Youth Development, Inc. is an at-will employer. Employment is by mutual consent of the company and employee, and either may terminate the relationship at any time with or without cause or advance notice. This job is contingent upon funding; however, availability of funding is not a guarantee of continued employment, nor does it imply any specific term of employment.

DUTIES AND RESPONSIBILITIES (Not Inclusive):

  1. Maintains all files for department, employee personnel and health files for safe and permanent keeping.

  2. Reviews employee time cards for completeness and accuracy, resolving discrepancies in timely manner.

  3. Inputs data from time cards into computerized payroll module, validates accuracy, and produces payroll checks.

  4. Prepares journal entries to be utilized in updating all accounts associated with the

    payroll function.

  • Utilizes computer generated spreadsheets to prepare, calculate, and present employer

    unemployment tax, workers compensation, and employee benefits requirements for

    payment.

  • Maintain employee payroll database insuring information on each employee is current

    and correct.

    • Distributes paychecks, maintains payroll history files, and makes employee direct deposits as required.

  • Monitors payroll bank account balance and makes deposits as necessary.

  1. Types routine correspondence, memoranda, reports, records, and other office documents.

  2. Will perform general and routine clerical work.

  3. Clerical work involves such operations arranging written materials, alphabetical filing, copying data from one document to another, counting objects, or performing similar arithmetic calculations. Providing employees with routine and general information, i.e., insurance coverage information, holiday information, copes of personnel files, etc.

  4. Schedules appointments, gives information to callers. Will answer telephones and routine incoming calls.

  5. Purchase and maintain office supplies for the department as needed.

  6. Other duties as assigned.

    SUPERVISION RECEIVED:

    Under the direct supervision of the Vice President, Human Resources.



Job Description:
AA in Business Administration plus 2 years of experience, or any combination of education and clerical experience to equal 5 years. Will perform administrative support in the Human Resources/Payroll department. Must possess skills to operate in a computerized accounting/HRIS environment. Must be able to read, write, understand & speak English.
