THE POSITION

The Administrative Assistant/Quality Assurance Specialist works primarily out of the Boise Behavioral Health Clinic. This position is responsible for a variety of tasks including, completing front office duties in the absence of the Office Manager, including managing office phones, checking in clients for services, insurance verification and eligibility/authorizations, scheduling services, and other various administrative duties.

This position is also responsible for the quantitative and qualitative electronic health record review process to ensure compliance with payer contracts, maintenance of electronic health record data used for reporting, and electronic health record training for program staff to ensure compliance. Travel between Boise and Mountain Home is required, with compensation; the person will be required to provide his or her own transportation or agree to carpool. Must have a phone.

POSITION EXPERIENCE & EDUCATION REQUIREMENTS
  • Bachelors Degree, preferred
  • High School Diploma/GED, required
  • Two (2) years' administrative experience in a clinical setting, preferred
  • Bilingual in English and Spanish, preferred
  • Proven administrative, organizational, and time management skills
  • Demonstrated ability to provide excellent customer service and communicate effectively with staff, clients and families members
  • Knowledge and experience in supporting TeleHealth services
  • Experience with electronic health records and managing health record inquiries
  • Experience with Microsoft Office and Google platforms

ESSENTIAL FUNCTIONS

ADMINISTRATIVE ASSISTANT
  • Scheduling therapy sessions, including coordinating substitutions and cancelations
  • Coordinate intake calls for medication management and clinical services, while collaborating with billing department to ensure eligibility
  • Completing intakes and ongoing administrative, electronic health record documentation
  • Checking in clients for services
  • Answer and return phone/reminder calls, emails and voicemails promptly (at minimum daily)
  • Filing and various other office and clerical duties
  • Collect client vitals and transcribing information into clients electronic medical record
  • Complete claims and billing tasks, as assigned by leadership
  • Attend meetings, as requested
  • Maintain professional boundaries and a good rapport with clients, families and colleagues
  • Ensure security, integrity and confidentiality of data
QUALITY ASSURANCE
  • Complete quarterly, discharge or other as assigned quantitative and qualitative electronic health record review process to ensure compliance with payer contracts and state regulations
  • Complete reviews of data in the electronic health record to ensure accuracy in reporting
  • Complete weekly and monthly reports from the electronic health record system
  • Maintain program productivity dashboards
  • Provide administrative specific electronic health record training for program staff
  • Provide audit reports to program team members and leadership for review and correction
