Job Description

Summary

Under the direct supervision of the Judicial Clerk (Clerk of the Court), assists in the administrative functioning of the Court including but not limited to, logging and preparation of new cases and files, answering the telephone, greets and answers questions from the public, types notices for hearings and maintains the Judges notebook.

Education requirements

High School Graduate or General Equivalency Diploma. Experience with computers or typewriters, copy machines, telephone and recorders. Dependable, stable and emotionally mature. Willing and able to participate in additional training to acquire new and improved skills. Familiar with tribal court system. Experience in clerical field. Testing may be required.

Responsibilities

Prepare case folders for new cases and maintains all new information - reports in existing cases. Makes copies of material from files for distribution to appropriate parties in each case. Answers the telephone, logs incoming calls, records messages and relays phone calls to appropriate persons. Greets visitors and announces the same to appropriate personnel. Screens visitors and participants for weapons and other items prohibited in the Court House. Picks up daily mail, supplies and payroll checks. Maintains records of employee time cards and distributes payroll. Supervises cleaning and maintenance of the Court House to insure it is kept clean and in order. Retrieves case files from secured storage and inserts appropriate information in place. Copies and distributes memos, reports, and other items to staff. Records hearing dates in the Judges notebook. Delivers time cards, reports, memos, and items for mailing to the appropriate location. Reminds visitors of the Court House rules and reports any noncompliance. Type’s notices for hearings as instructed. Other duties may be assigned.

Skills

Ability to function under conditions of stress. Able to use a computer or typewriter, telephone, fax, copy machine and other office machines. Knowledgeable of Cocopah Tribe/Native American customs and tradition. Able to communicate clearly and effectively. Ability to work with different segments of society.

8am-5pm, Monday to Friday
