Definition:
The Leasing Agent is responsible for assisting the Property Manager and Assistant Property Manager in an office support/clerical capacity.The incumbent shows and leases apartments to prospective tenants; interviews prospective tenants and records information to ascertain needs and qualifications; accompanies prospects to apartments and discusses size and layout of rooms, available facilities, location of shopping centers, services available, and terms of lease; completes lease form or agreement, processes rental applications, income certifications and re-certifications and collects rental deposit; processes resident move-ins/outs; provides support with filing, data entry, and other office/clerical duties as assigned.The Leasing Agent is responsible for assisting the Property Manager and Assistant Property Manager in an office support/clerical capacity.The incumbent shows and leases apartments to prospective tenants; interviews prospective tenants and records information to ascertain needs and qualifications; accompanies prospects to apartments and discusses size and layout of rooms, available facilities, location of shopping centers, services available, and terms of lease; completes lease form or agreement, processes rental applications, income certifications and re-certifications and collects rental deposit; processes resident move-ins/outs; provides support with filing, data entry, and other office/clerical duties as assigned.


Essential Duties and Responsibilities:

  • Keeps an accurate log of all prospective renters and traffic by recording the name of the individual(s).
  • Answers telephones and takes accurate messages.
  • Assists Manager and Assistant Manager in a clerical capacity.
  • Enforces the appropriate building policies and house rules.
  • Keeps the lobby areas clean and neat.
  • Informs the Property Manager of any unusual activity in a timely manner.
  • Responds to emergency situations by calling the appropriate emergency service (e.g. police, fire department, paramedics).
  • Conveys accurate information to the appropriate authorities as necessary.
  • Processes applicants for residency.
  • Performs filing and data entry.
  • Re-certifies residents for annual income compliance requirements and recognized components of prospect qualifications.
  • Interviews and processes prospective residents.
  • Processes resident move-ins and outs.
  • Utilizes appropriate leasing tactics and sales techniques close leasing arrangements with prospective residents.
  • Inspects conditions of premises periodically and arranges for necessary maintenance.
  • Compiles listings of available rental properties.
  • Assists with the composition newspaper advertisements.
  • Contacts the credit bureau to obtain credit reports on prospective tenants.
  • Provides excellent customer service.
  • Attends staff meetings as required.
  • Performs other related duties as assigned

Qualifications/Skills/Education/Experience/Certification:

Knowledge, Skills and Abilities:

  • Answer telephones and greet residents and guests in a professional and courteous manor.
  • Ensure that doors and filing cabinets are closed and locked.
  • Treat a variety of people with respect and compassion.
  • Maintain confidentiality.
  • Decide when an incident is an emergency and take appropriate action.
  • Abide to legal guidelines throughout the leasing process.
  • Write messages in a legible fashion.
  • Detail oriented.
  • Communicate clearly and effectively, orally and in writing.
  • Understand and follow written and oral instructions.
  • Operate a computer, calculator and other standard office equipment.
  • Organize, set priorities, and exercise sound independent judgment within areas of responsibility.
  • Establish and maintain effective working relationships with agency staff and others encountered in the course of work.
Education/Experience/Certification:
  • High school diploma or GED.
  • General office experience preferred

Must have a physical examination, TB and vaccination clearance as required by state and federal regulations and a drug screen by a doctor/clinic designated by MAAC prior to the first day of employment.
