Legal Operations Coordinator (Temporary)

Job Description

The Legal Operations Coordinator-Temporary will support the special projects of the Legal Department with focus on optimizing the performance of data entry into, and reporting from, Legal Department technology platforms. This person will also gather data and/or files for responses to requests for information. The Coordinator will support the Litigation Support Manager in identifying and implementing improvement opportunities in the departments processes and technology platforms, and will support staff-attorney needs with respect to reporting on critical response data and creating reports and power point decks based on the data.

This role is based in our Tampa Restaurant Support Center and will work full-time in a hybrid schedule (minimum

of three days/week onsite). This is a temporary role and will not be eligible for benefits.


ESSENTIAL DUTIES

  • Enters data related to the departments critical response program
  • Prepares and reports on data for critical response team and other information requests from various legal function teams
  • Compiles, reviews and distributes regular and ad hoc reports to various business owners, including assembling new reports as identified by business needs
  • Prepares and documents processes allowing continuous improvement and streamlining efficiencies and productivity, updating current process documents as necessary
  • Supports team members and staff attorneys with performance of administrative matters, as needed, including scanning/filing, mail, calendaring, and scheduling


REQUIREMENTS

Education:

  • College degree preferred


Experience/Skills:

  • 0 to 2 years of experience with data entry processes in-house or at a law firm (both preferred)
  • Ability to gather data from multiple sources for responses to requests for information
  • Ability to input data with extreme consistency and low error rate
  • Understanding of logistical challenges related to coordinating with cross country, multi-unit business partners
  • Ability to work independently and in a team environment with limited instruction
  • Ability to manage a high volume of time-sensitive issues
  • Advanced proficiency in Microsoft Office: Word, SharePoint, Excel (including VLOOKUP, graphing and pivot tables), Outlook, PowerPoint, OneDrive, Teams
  • Preferred experience in utilizing technology solutions (e.g., Legal Tracker, Adobe Acrobat)
  • Excellent analytical, proofreading, problem-solving, organizational and communication skills (verbal and written) with a strong attention to detail
  • Able to thrive in a fast-paced environment and successfully manage multiple deadlines
  • Ability to handle sensitive/confidential information with discretion
  • Essential characteristics include analytical skills, attention to detail, ability to multi-task and prioritize, and willingness to learn and take on unfamiliar projects
