I. Position Function:

The Manager of Medical Staff Services, who works with the Hospital Administration and the Medical Staff, creates, maintains and updates Medical Staff Credentialing files for the Medical and Allied Health Professional Staff, as defined by the Medical Staff Bylaws, Rules and Regulations, as delegated by the hospital's Board of Trustees and national regulatory agencies.

II. Job Relationships:

- Medical Staff Credential Committee Chair

- Medical Center President

- Medical Staff President

- Medical Staff Officers

- Patient Care Assessment Coordinator

- Department Chairman and Division Chiefs

- Department Administrators

- Central Credentials Verification Office

III. Authority:

Has the authority and responsibility to query and report to the Massachusetts State Licensing Agencies.

Has the authority and responsibility to query and report to the National Practitioner Data Bank.

Has the authority to organize the department to meet the agreed upon objectives.

Has the authority to receive and review clinical department reports/minutes, committee reports/minutes, and confidential physician information.

IV. A. Responsibilities/Essential Functions:

1.) "Provides superior customer service to internal and external clients, customers,

and patients as referenced in the Service Excellence Standards."

Initiates, oversees, administers, verifies, compiles, manages and maintains confidential data required for credentialing of initial appointees applying to the Medical Staff.

Initiates, oversees, administers, verifies, compiles, manages and maintains confidential data required for continuous credentialing/re-appointment of Medical Staff members.

Oversees compliance of monthly Medical Staff committees, Medical Staff meetings and Department staff meetings; reports non-compliance as necessary.

Oversees, develops and maintains up-to-date Physician Credentialing computer system to record statistics for all currently approved appointees, to be used for continuous credentialing purposes and statistical data for appropriate in-house departments.

Maintains and updates master copy of the Medical Staff Bylaws, Rules and Regulations.

Maintains minutes and prepares agendas and related materials for the following monthly Medical Staff committees: General Medical Staff meeting, Medical Peer Review Committee, Credentials Sub-Committee, and Medical Executive Committee.

Annually prepares and adheres to departmental budget.

Meets with JCAHO physician surveyors and other state or federal surveyors to review current medical staff organization.

Assists the Medical Staff President preparing correspondences and summarizing recommendations, as relates to his/her Medical staff duties as President, assuring that all deadlines and standards for due process are met.

Provides administrative support services to Medical Staff Officers, as relates to their Medical Staff duties as officers.

Maintains knowledge of Federal and Massachusetts statutes/laws/regulatory agency requirements as they pertain to medical staff office duties.

Improves professional growth, knowledge of job to maintain efficiency and effectiveness of the Medical Staff Office through membership in a professional organization (such as National or Massachusetts Association of Medical Staff Services), subscription to credentialing periodicals and/or educational seminars, as budget allows.

Responsible for annual billing and collection of Medical Staff dues.

Maintains and updates physician information in Hospital SMS computer system to assure accurate data.

Processes hospital privilege verification requests in a timely manner.

Supervises Administrative Assistant to the Medical Staff Office, performs annual and ongoing performance evaluations, delegates Medical Staff Office duties.

B. Responsibilities/Non-Essential Functions:

Provides statistical data, reports, updates, copies and credentialing materials to physicians and authorized clinical and administrative departments as requested.

V. Reporting Requirements:

Reports to the Medical Staff President all issues pertaining to Credentialing and Appointment of the Medical Staff, and other medical staff matters.

Reports same to the Chief Medical Officer and the Patient Care Assessment Coordinator as deemed necessary.

Reports all operational matters of the Medical Staff Office to the Vice President of Performance Improvement.

VI. Accountability:

Shall be accountable for abiding by all relevant hospital policies and procedures.

Shall be accountable for maintaining the confidentiality and security of all hospital related, medical staff related and patient related data and information.

VII. Qualifications:

Minimum Education:

Bachelor's Degree and/ or a combination of education and management experience deemed equivalent.

Minimum Experience:

Three years in Medical staff Services and/or five years in Hospital management experience.

Minimum skills/abilities:

Basic computer skills.

Medical Terminology.

Excellent communication and writing skills.

Certification/Licensure:

Certified Medical Staff Professional preferred.

Training:

Training in Medical Staff Credentialing preferred.

Special Qualifications:

Demonstrates good judgment, assertiveness, dependability in performance of his/her role as Medical Staff Coordinator.

The ability to communicate clearly and professionally with hospital personnel at all levels.

Possesses a high skill level of independent practice, problem solving and decision making abilities.

Flexibility

Ability to perform efficiently and competently.
